Job Title: Administrative Specialist Support Location: Tampa, FL 33607 Hybrid Work (4 days on site per week, 1 day remote) Contract Length: 6+ Months Job ref# 247558 Provide administrative support to the Engineering, Construction, and Project Management (ECPM) team responsible for major capital projects. This role supports department leadership and project teams through meeting coordination, documentation, onboarding, reporting, office administration, and daily operational support. Responsibilities Coordinate and schedule department meetings, safety meetings, team meetings, and visitor events

Arrange meeting rooms, catering, materials, and meeting logistics. Record and distribute meeting minutes. Coordinate contractor network IDs, access requests, onboarding, and offboarding activities.

Maintain department records, including training records, agendas, attendance sheets, and administrative documentation. Monitor and replenish office and breakroom supplies. Submit and track IT/OT and Facilities service requests.

Support department leadership with reports, meeting coordination, and PowerPoint presentations. Assist with onboarding new employees, including workspace setup, equipment coordination, and supply requests. Process invoices, purchase requisitions, and other administrative transactions.

Coordinate department events, employee recognition activities, and training registrations. Maintain department contact lists, organizational charts, seating charts, and shared resources. Provide document control and DocuSign support.

Perform timekeeper responsibilities, including troubleshooting payroll and time-reporting issues. Manage vendor relationships for office services and supplies. Coordinate vehicle maintenance scheduling, inspections, truck supplies, and SunPass administration.

Provide day-to-day administrative support as needed. Required Qualifications Administrative support experience. Experience coordinating meetings and calendars.

Experience preparing meeting minutes and maintaining documentation. Experience supporting onboarding and offboarding activities. Experience processing invoices, purchase requisitions, or administrative transactions.

Strong Microsoft PowerPoint skills. Strong Microsoft Word skills, including advanced formatting and document management. Strong organizational, communication, and coordination skills.

Ability to manage multiple priorities in a project-focused environment. Preferred Qualifications Experience with Power BI. Presentation design experience in Microsoft PowerPoint.
