Position Details As the Election Assistant, you will support the City Clerk's Office in administering election operations and providing high-quality service to voters and the community. This role plays a critical role in ensuring elections are conducted accurately, efficiently, and in compliance with statutory requirements, while delivering a positive, accessible experience for all voters. Our City Clerk's Office is a team of dedicated professionals who work to uphold transparency, ensure compliance with state and local regulations, and provide essential services that support the democratic process and the City's daily operations.

This role is non-exempt and temporary, supporting the 2026 election cycle, with employment expected through November 13, 2026. How you'll use your strengths every day The Election Assistant values people and perspectives by: Supporting voters through the absentee and early voting process while ensuring a welcoming and professional experience. Providing clear, accurate information to residents regarding voter registration, voting locations, and election procedures.

Supporting election operations through data entry, recordkeeping, and coordination of election judges, training, and logistics. And they expect the best by: Ensuring accuracy and compliance in all election-related work and documentation.

Maintaining organization and efficiency in a fast-paced, deadline-driven environment, particularly during peak election periods. What you'll bring to help you be successful High school diploma or equivalent is required, along with at least one year of administrative, clerical, or office experience and two years of customer service or related experience. The position requires proficiency in Microsoft Office Suite and Adobe Acrobat Pro, as well as strong organizational, communication, and problem-solving skills.

The ability to work independently, manage changing priorities, and meet deadlines during peak workloads is essential. A valid Minnesota driver's license is required. The individual must be eligible to serve as an election judge and be available to work through November 13, 2026.

Experience working with elections or in a government setting is preferred. Essential Functions Elections. Assists voters with absentee and early voting processes.

Responds to inquiries regarding voter registration, voting locations, and election information. Assists with testing and implementation of voting equipment. Prepares and organizes election supplies and materials.

Supports election judge recruitment, scheduling, training, and timesheet processing. Assists with data entry, scanning, and recordkeeping related to elections. Researches and supports the implementation of technology to improve election processes.

Attends required election training. City Clerk administrative support. Assists with incoming phone calls, correspondence, and general office inquiries.

Composes routine and complex correspondence, reports, and related materials. Performs filing, scanning, and general administrative tasks. Assists with records retention for election and City Clerk documents.

Supports process improvements and efficiency efforts within the office.
