Summary:
Are you a process-oriented professional with a passion for high-touch candidate experiences? MaineHealth Medical Group (MHMG) is seeking a Preboarding Operations Specialist to provide concierge-level support to our Physician and Advanced Practice Provider (APP) candidates. This position is hybrid and is benefit eligible, and it is not open to fully remote candidates. The ability to be onsite at our Portland area location is required.
In this role, the specialist will act as a "white glove" guide for our newest providers, ensuring a seamless transition from the offer stage to their first day. The specialist will support senior leadership by managing complex recruitment projects, tracking vital metrics, and leading the charge in mapping out and implementing innovative preboarding solutions across the MaineHealth system.
Key Responsibilities
  • Concierge Candidate Support: Act as the primary, "white glove" point of contact for candidates with complex onboarding needs, including dual-visa households, spousal relocations, non-compete nuances, and academic/research integrations.
  • Offer Management: Assist the preboarding team with timely preparation and delivery of offer packages for Physician and APP candidates systemwide.
  • Process Engineering: Map out current preboarding functions and lead the implementation of streamlined workflows to improve the provider experience.
  • Operational Execution: Track and complete all required administrative steps once a provider agreement is signed, ensuring 100% readiness for day one.
  • Continuous Improvement: Assist in the ongoing implementation and refinement of internal processes to stay ahead of industry standards.
  • Leadership Support: Provide organizational and systems support to MHMG senior leadership and search leaders during the full recruitment cycle.

  • Strategic Support: Ability to support MHMG's preboarding work for providers systemwide.
  • Workflow Optimization: Skill in providing a streamlined approach to preboarding from offer acceptance to the start date.
  • Complex Problem Solving: Capability to manage "high-nuance" candidates with complicated legal, professional, or personal requirements.
  • Project Leadership: Proven ability to map processes, develop solutions, and lead team-wide implementations.

Required Minimum Knowledge, Skills, and Abilities (KSAs)
  1. Education : Bachelor's Degree required.
  2. License/Certifications: N/A
  3. Experience: Three years of experience in Human Resources or other business-related role required . Recruiting experience preferred .
  4. Additional Skills/Requirements Required: Proficiency in Microsoft Office suite .
  5. Additional Skills/Requirements Preferred : Experience with ATS and HRIS applications .
