Patient Services Representative

The US Oncology Network is looking for a Patient Services Representative to join our team at Texas Oncology. This full-time position will support the Lakeway, TX location. This is a full-time Monday-Friday 8:30am-5pm position with no weekends, call, or major holidays.

This position can be a level 1, 2, or Sr based on candidate experience.

What does the Patient Services Representative do?

Under general supervision, is responsible for scheduling patient appointments and tests in an efficient and timely manner. Responds to all incoming scheduling calls with timely and accurate resolutions. May include outside scheduling and/or surgical scheduling responsibilities. Supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards.

Responsibilities

The essential duties and responsibilities (including but not limited to):

  • Efficiently schedules new patients, patient referrals and returning patients in computer system in accordance with physician and/or office guidelines.
  • Cancels/reschedules appointments according to physician schedule changes; notifies appropriate clinic personnel.
  • Meets with patients to schedule all future appointments, procedures, or other exams needed.
  • Utilizes dedicated program to triage and respond to all incoming scheduling calls timely and accurately.
  • Accurately schedule appointments while multi-tasking in a fast-paced medical office.
  • Ensures all authorizations and referrals are obtained and attached to appointments correctly to avoid denials or delays in payment.
  • Maintains primary office scheduling template containing all physician meetings, satellite schedule, rounding and call coverage.
  • Arranges for patients to have financial counseling as needed.
  • Demonstrates an understanding of patient confidentiality to protect the patient and clinic/practice.
  • Follows policies and procedures to contribute to the efficiency of the front office. Covers for other front office functions as requested.
  • Prepares correspondence, memos, forms, and other typing as requested by supervisor.
  • May schedule outpatient appointments/testing/surgeries and hospital admissions upon request. Obtains necessary pre-certification as required. May communicate to patient about surgeries or tests being scheduled and potential prep work needed, inquiring about test specifics from necessary parties and gathering patient information as needed.
  • Where applicable, basic understanding of medical terminology for tests and surgical procedures, including coding and ability to look up codes specific to diagnosis, surgery, and scheduling procedure.
Qualifications

The ideal candidate for the Patient Services Representative will have the following background and experience:

Level 1

  • High School Diploma or equivalent required.
  • This position is entry level and requires 0-3 years of medical business office experience.

Level 2 (in addition to level 1 requirements)

  • Minimum 3 to 5 years medical business office experience.

Level Sr (in addition to level 1 and 2 requirements)

  • Minimum five years medical business office experience.
