The Human Resources Assistant supports the daily functions of the HR Department and helps keep everything running smoothly behind the scenes. This role assists with onboarding new hires, creating employee records and system access, coordinating training, maintaining files, supporting managers with administrative projects, ordering supplies and uniforms, assisting with employee communication, and helping with a variety of HR initiatives throughout the year. The position works closely with leadership and reports directly to the Human Resources Director.

We’re looking for someone who is dependable, eager to learn, detail-oriented, and comfortable working in a fast-paced environment. Basic Microsoft Office and Excel skills are required, along with strong communication and organizational abilities. Previous office or HR experience is a plus. Duties/Responsibilities

  • Support HR function by assisting with employee onboarding, managing access, and maintaining personnel records.
  • Process all new hires, including sending background checks and behavioral assessments, monitoring progress, keeping managers informed of candidate status multiple times per week, and sending new hire notifications.
  • Creates new hire folders with pay plans, handbooks, benefit guides, forms, etc. and processes completed documents upon the completion of new hire orientation.
  • Creates and troubleshoots basic system access for new hires, including emails, Paycom HRIS, uniform ordering accounts, ordering/delivering name tags and business cards, various vendor software programs, and more.
  • Finalizes new hires in Paycom.
  • Maintains contact with new hires regarding orientation dates, welcome email, etc.
  • Continuously updates the new hire tracker to ensure real-time accuracy. Provides updates from the tracker to various parties, including IT and Trainers.
  • Creates logins for the uniform ordering portal. Maintains inventory of uniforms on hand and orders new uniforms when there is a need to replenish stock.  
  • Assist in organizing employee training sessions, workshops, and other development programs.
  • Provide general administrative support to dealership managers for requests and projects.
  • Arrange for the delivery of supplies, including food services, office supplies, and IT equipment.
  • Digitalize employee files by scanning and loading them into Paycom.
  • Periodically audits various systems, including UniFirst, teams channels, supervisor lists, etc.
  • Assists with various HR initiatives as needed.
  • Assists with annual Benefits Open Enrollment.
