Job description


Position Summary
Colorado State University's Department of Systems Engineering is seeking a full-time,12-month Graduate Advisor. This position expands the Systems Engineering advising team and specializes in developing and implementing new programs to support current student success and graduate enrollment growth.
The Advisor will take a caseload of applicants and students in the Department, which offers graduate certificate, Master of Engineering (M.E.), Master of Science (M.S.), Doctor of Philosophy (Ph.D.), and Doctor of Engineering (D.Eng) programs, both online and on-campus. The successful candidate will advise a graduate student population through the lifecycle of the degree program and connect students with appropriate resources as needed. The successful candidate will need to interpret requests for information and answer inquiries or direct appropriately, determine the urgency of communication, and initiate and compose appropriate correspondence.
They will have a strong dedication to students and demonstrate the ability to think creatively, analytically, and strategically. The candidate will have the ability to work independently, exercise discretion in interpreting and applying policies and procedures, and have the capacity to coordinate multiple priorities effectively and efficiently. The ideal candidate will be a highly organized, motivated, and confident individual who has a strong knowledge of MS Office products as well as excellent written and oral communication skills. The candidate will have demonstrated experience working with confidential information and diverse populations.

Essential Job Duties:
  • Advise online PhD students from initial program interest to graduation.
  • Maintain knowledge of Colorado State University, college, and department policies and procedures, and all outside-of-department resources that are available to students. Will be cognizant of current departmental, University, and college requirements necessary for graduate students to obtain their graduate degree and be able to provide guidance and direction to graduate students on campus services and facilities.
  • Design and implement department-level support for online graduate students' research and teaching goals (i.e. connection to writing and research-planning resources, coordination of teaching opportunities outside of traditional GA appointments, etc.).
  • Work within university FERPA guidelines.
  • Advise students and faculty on deadlines and appropriate policies and procedures related to admission, graduation, overrides, exceptions, appeals, curricular practical training and other advising related issues.
  • Coordinate and implement retention and grade-monitoring activities and work with students experiencing academic difficulty.
  • Contribute to the development of graduate recruiting events for online students and participate in these events, including outreach with regional or local organizations or industry and events to promote program offerings.
  • Develop and maintain standardized procedures, business processes, and systems for evaluation of applicants to online PhD. Ensure efficient inquiry responses and student application processing.

Minimum Qualifications:
  • Bachelor's Degree from an accredited university in engineering, STEM fields, counseling, social sciences, liberal arts, or related area of study.
  • Professional experience providing one-on-one academic advising support for students.
  • 2 or more years of experience in a customer-focused office environment.
  • Proficiency in Microsoft Office.
  • Effective verbal, written, and interpersonal communication skills, as demonstrated in the application materials submitted.

Preferred Qualifications:
  • Master's Degree or higher in Engineering, STEM fields, student affairs, counseling, social sciences, liberal arts, or related area of study, or work experience in a graduate office/program.
  • Demonstrated ability in designing, implementing, and collaborating on academic programs.
  • Experience advising graduate and/or online students.
  • Experience with student-centered event planning, organizing, and implementation (such as student socials, prospective student visits, etc.).
  • Exposure to engineering in an industrial setting and/or experience working directly with engineering industry professionals.
  • Knowledge of higher education technology systems (such as Banner, Slate, Canvas)
  • Sensitivity to and appreciation of cultural, political, and geographical differences, with ability to work well with faculty, staff, and students from around the world.
