Job description

ESSENTIAL JOB DUTIES

  1. Prepare, sort, compile and verify the accuracy of documents before they are scanned and report errors to supervisor for correction. (10%)
  2. Manipulate source documents to group like items, delete unnecessary items and prioritize documents requiring immediate attention, such as prescription refills. (10%)
  3. Read source documents and enter data into specific fields, using keyboards to index documents into the EMR. (10%)
  4. Initiate communication notes for prescription refills, prior authorizations, and forms from source documents and route to the appropriate party for completion. (10%)
  5. Enter health maintenance data obtained from source documents regarding mammograms, diabetic eye exams and colonoscopies into the flow sheet in the electronic medical record. (10%)
  6. Complete orders in the patient’s medical record using source documents to verify that an appointment was kept. (10%)
  7. Handle File-Safe related activities, including ordering supplies, scheduling pick-ups for sites, and ordering and distributing charts that have been retrieved from off-site storage. (10%)
  8. Reviews and processes release of health information requests in a timely and efficient manner ensuring accuracy and providing customers with the highest quality customer service. (15%)
  9. Function as a mailroom clerk on a rotation basis. (5%)
  10. Ensures that all incoming calls from patients, employees and outside organizations are handled in a courteous manner and in compliance with GLBHC policies, procedures, and HIPAA regulations. (10%)
MARGINAL JOB DUTIES
  1. Assist the Health Information Coordinator or Director with EHR related activities, as needed.
  2. Perform other duties as assigned.

JOB SPECIFICATIONS
  1. Education:
    • Entry-Level: High school graduate or equivalent.
    • Mid-Level: Associate degree in health information or related field; or consideration may be given to commensurate experience.
  2. Licensure: None
  3. Experience:
    • Entry-Level: No experience, however preference for experience in a health information department or those who have indexing duties in a healthcare setting.
    • Mid-Level: Three (3) years health information experience and knowledge of medical terminology, HIPAA and state and federal privacy laws.
  4. Skills: Must be able to input a high volume of information accurately. Must be familiar with Microsoft Windows, Microsoft Word, and Hyland software. Ability to use Microsoft Excel to create reports preferable. Demonstrates strict adherence to HIPAA guidelines. Mid-Level HIM Specialists must be familiar with Hyland ROI Software, Hyland Virtual Printer in addition to Microsoft Office Suite and Hyland scanning and indexing software. Senior HIM Specialists will also need to be proficient in Adobe and data exchange within the secure Patient Portal.
  5. Interpersonal Skills: Ability to communicate with a variety of staff members in a courteous and professional manner. Must be able to work under time constraints and to adhere to schedules. Must also be able to do repetitive tasks for long periods of time.
  6. Physical Effort: Must be able to sit, stand, and or walk for an entire workday. Must be able to lift, carry, push, pull, and or twist while holding up to 25 lbs. occasionally.
  7. Hours of Work: Full-time, some evenings and weekends may be required.
  8. Travel: Local travel, including all GLBHC sites, is a requirement of this position. Personal vehicle required for travel usage. Valid driver’s license and appropriate insurance coverage required for travel cost reimbursement at the existing rate of the corporation.
