JOB TITLE: 

Global Engagement Office Business Office Aide

JOB PURPOSE: 

The Work-Study Business Office Aide supports the daily financial and administrative operations of the Global Engagement Office by assisting with budgeting, purchasing, financial record-keeping, and general office support. This position provides hands-on experience with university business processes while developing valuable skills in accounting, organization, customer service, and professional communication in a collaborative office environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

• Assist with organizing, reviewing, and maintaining financial records and supporting documentation
• Organize receipts, invoices, and other documentation for procurement card (P-Card) reconciliations, expense reports, reimbursements, and purchase orders
• Enter, verify, and update financial information in spreadsheets and internal tracking systems
• Assist with tracking account balances, expenditures, and budget information
• Prepare electronic files and maintain organized digital and paper records in accordance with university record retention requirements
• Review documentation for completeness and notify staff of missing information or discrepancies
• Complete special projects using Microsoft Office, Adobe Acrobat, and other university business systems

SUPPLEMENTAL FUNCTIONS: 

• Assist with office-wide projects
• Help prepare reports, spreadsheets, and financial summaries
• Assist with inventory, office supply management, and document organization
• Perform other duties as assigned that provide exposure to university business and financial operations

MINIMUM QUALIFICATIONS: 

Must be eligible, have received and accepted work study award through Student Financial Aid for the applicable semester and/or academic year.  

• Current enrollment as a University of Wyoming student with work study eligibility
• Basic proficiency with Microsoft Office application 
• Availability to work on campus during regular business hours

DESIRED QUALIFICATIONS: 

• Coursework or interest in accounting, finance, business administration, economics, management, or related fields
• Experience using Microsoft Excel, including formulas, sorting, and basic data organization
• Previous experience in an office, administrative, customer service, or financial support role
• Experience working with spreadsheets, databases, or record management systems
• Strong attention to detail and ability to identify inconsistencies in documentation
• Interest in learning university business operations, budgeting, purchasing, and financial compliance

This position provides practical experience in business operations, financial administration, budgeting, purchasing, and record management that prepares students for careers in accounting, finance, business administration, public administration, human resources, higher education, and nonprofit management. Students will strengthen transferable skills such as attention to detail, problem-solving, customer service, professional communication, and data management while gaining experience with industry-standard software and university financial processes. The position also helps students build professionalism, organizational skills, and an understanding of how financial and administrative functions support the success of a complex organization.

WORK LOCATION: 

On-campus: This position provides vital support to campus customers, and the successful candidate must be available to work and perform essential job functions on campus, understanding our location is at 7,220 feet above sea level.
