Executive Assistant to Leadership
Location: Tampa, FL (In Person)| Travel: Regional, as needed (day trips and occasional overnight) | Type: Full-Time | Compensation: $48,000–$58,000 base, with defined increases around 90 days, 6 months, and 12 months tied to added responsibility.
About the Opportunity
We're a small, fast-moving group of companies based in Tampa, spanning healthcare, wellness, and construction. We run lean on purpose — few layers, few moving parts, and a lot of direct exposure to how the business actually works.
We're looking for an Executive Assistant early in their career who wants to learn how a multi-industry operation is really run, from the inside. This is a role we intend to build with someone over time: you'll start with the fundamentals — scheduling, communications, organization — and grow into greater financial and operational responsibility as you prove you're ready for it.
This is not a role for someone who wants a fully defined, static job description. It's for someone who's organized, sharp with details, comfortable with ambiguity, and genuinely motivated to grow into more with a strong knowledge of AI.
What You'll Do — First 90 Days
• Manage calendars, scheduling, and communications across multiple business units
• Coordinate travel logistics for regional meetings and site visits
• Organize documents, files, and records across different companies and workflows
• Act as a day-to-day communication point between leadership, staff, and vendors — in both English and Spanish
• Learn the operating rhythm of each business well enough to anticipate needs, not just respond to requests
What You'll Grow Into (6–12 Months, Based on Performance)
• Expense tracking and basic financial reporting, under direct review
• Supporting coordination of projects and follow-through across departments
• Independent handling of routine vendor and partner communications
• Increasing decision-making authority on clearly defined, lower-stakes items
Note: sensitive financial, compliance, and contractual work stays with leadership regardless of tenure, unless and until it makes sense to extend it further.
What We're Looking For
• 1–3 years of professional experience — administrative, operations, customer-facing, or coordination roles all count. This is not an entry-level-from-school position, but it's also not a role for a seasoned EA looking for a senior-level scope.
• Fluent in English and Spanish, spoken and written
• Highly organized, detail-oriented, and comfortable managing multiple priorities at once
• Strong written and verbal communication — able to represent leadership professionally
• Comfortable with numbers and willing to build real financial and operational skill over time
• A genuine long-term mindset — looking to grow into a career, not fill a temporary gap
• Based in or near Tampa, FL, and able to work a hybrid schedule with regional travel as needed
