Job Title: Inventory SpecialistJob Description

The Inventory Specialist performs a variety of administrative and inventory control tasks, including receiving and distributing communications, maintaining supplies and equipment, and processing purchase orders in an ERP system while providing responsive customer service. This role also manages invoice processing by receiving, verifying, and reconciling invoices to ensure accurate and timely payment.

Responsibilities
  • Manage multiple tasks efficiently while maintaining a high level of attention to detail, particularly in handling inventory and material numbers.
  • Monitor and maintain adequate inventory levels by checking stock, anticipating requirements, placing and expediting orders, verifying receipts, stocking items, and delivering supplies as needed.
  • Serve customers by processing purchase orders, answering questions, forwarding messages, confirming customer orders, and keeping customers informed about order status.
  • Build and maintain trusting relationships with suppliers, customers, and colleagues to support smooth operations and effective communication.
  • Perform receptionist duties when needed, including answering phones and greeting visitors, and support other projects as assigned.
  • Enter invoices into the system for payment, apply charges to purchase orders, research and resolve any discrepancies, and route invoices for approval when required.
  • Maintain organized purchase order files, including acknowledgements and packing slips, to ensure accurate records and easy retrieval.
  • Keep the work area clean, orderly, and well-organized to support efficiency and compliance with workplace standards.
  • Perform other duties as assigned to support the overall efficiency and effectiveness of the department.
Essential Skills
