Job Summary:
The Associate, Grant Management supports day-to-day program operations for federally funded recovery and mitigation initiatives. This entry-level position assists in the coordination, tracking, and documentation of program activities to ensure timely and organized execution of project tasks.
The role works closely with project teams to maintain accurate records, prepare basic reports, support data management efforts, and assist in the development of program materials. The position emphasizes attention to detail, organization, communication, and the ability to learn and apply program requirements in a fast-paced environment.
Job Duties:
  • Supports daily program operations and administrative activities across assigned projects
  • Assists in maintaining organized project files, documentation, and records
  • Tracks project tasks, deliverables, and timelines using internal tools (e.g., Smartsheet or similar)
  • Prepares basic reports, status updates, and summaries for internal team use
  • Supports data entry, validation, and quality control of program information
  • Assists in the preparation of presentations, spreadsheets, and written deliverables
  • Coordinates with team members to collect information and support ongoing initiatives
  • Supports meeting coordination, including agenda preparation and note-taking when required
  • Learns and applies program requirements, policies, and procedures with guidance from senior staff
  • Provides general support for program activities, including document review and formatting
  • Assists in responding to information requests and compiling supporting documentation
  • Maintains organization and version control of program files
  • Other duties as required

Education:
  • Bachelor's degree from an accredited university, required

Experience:
  • Zero (0) to one (1) year of professional experience, preferred
  • Internship, academic projects, or exposure to government or administrative environments, preferred

Certifications/Licensure:
  • N/A

Software:
  • Basic proficiency in Microsoft Office (Word, Excel, PowerPoint), preferred

Language:
  • Bilingual (Spanish/English), preferred
