Job description

Commercial Assistant Property Manager

Confidential Company — Carlsbad, CA Full-Time | In-Office

About the Role

We are an established commercial property management firm based in Carlsbad, managing a diverse portfolio of office, industrial, retail, and medical properties throughout North County San Diego.

We are seeking an experienced Commercial Assistant Property Manager to support day-to-day portfolio operations while also coordinating our in-house maintenance team. This role is ideal for someone who is highly organized, proactive, and comfortable managing multiple moving parts at once. This position plays a key role in maintaining efficient operations across multiple properties and requires strong follow-through, sound judgment, and the ability to work independently.

Note: This is not an entry-level position.

Key Responsibilities

  • Operations Support: Assist Property Managers with daily operations across a commercial portfolio, including tenant communication, documentation, and coordination of vendors, inspections, and projects.
  • Maintenance Coordination: Coordinate incoming maintenance requests and communicate with tenants regarding scheduling and status updates.
  • Field Oversight: Provide day-to-day operational oversight of in-house maintenance technicians who work independently across multiple properties. Maintain awareness of technician locations, assignments, and progress throughout the day, and coordinate urgent issues as they arise.
  • Documentation & Billing: Ensure work orders are properly documented, closed, and ready for billing, including review of labor hours, materials, notes, and photos.

Qualifications

  • Experience: Minimum 3 years in commercial property management, facilities coordination, maintenance coordination, or a similar operations role.
  • Organizational Skills: Strong ability to manage multiple priorities simultaneously.
  • Leadership: Experience coordinating service technicians or field staff.
  • Industry Knowledge: Commercial real estate or facilities management background; familiarity with building systems such as HVAC, plumbing, and electrical.
  • Tech Savvy: Experience with work order or property management software (Rent Manager experience is a plus).
