About Facilities Management Services (FMS) and Construction Services

Facilities Management Services (FMS) supports the RIT community by designing, constructing, operating, and maintaining a high-quality, cost-effective campus environment.

As part of FMS Construction Services, the Small Projects Team plays a key role in enhancing and maintaining the university's buildings and spaces through renovation, improvement, and infrastructure projects that support the evolving needs of the campus.

About the Role

The Project Coordinator primarily self-performs and manages Tier 1 construction and renovation projects, which represent more than 90% of the role. Working under general supervision, the incumbent independently plans, coordinates, and executes routine campus improvement projects while managing project budgets, schedules, quality, and contractor performance. Responsibilities include obtaining contractor estimates, coordinating and overseeing work performed by vendors, and ensuring projects are completed safely, on time, and within budget. Through hands-on project execution and coordination, the Project Coordinator develops project management, technical, customer service, and fiscal skills while supporting the ongoing enhancement of the university's facilities and spaces. Opportunities may exist to assist with projects in higher tiers based on departmental needs and project assignments.

Types of Projects

Projects are categorized into four tiers based on size, complexity, risk, and institutional impact. The Project Coordinator primarily manages and self-performs Tier 1 projects, which include routine campus improvements such as painting, flooring, card access and security upgrades, entrance door improvements, shelving installations, and office or classroom refreshes. Tier 2 projects typically involve larger renovations and infrastructure improvements, including office and classroom renovations, restroom upgrades, common area enhancements, and building system replacements. Tier 3 projects consist of major renovations, new construction, and significant site improvements that require greater coordination and may span multiple phases. Tier 4 projects represent the university's most complex and strategically important capital initiatives, including landmark facilities, major campus developments, and multi-year projects involving multiple divisions and stakeholders.

Essential Duties & Responsibilities

  • Participates in meetings with project requestors to establish scope, job schedules, priorities, and timeline
  • Assists in the review and approval of contract plans and specifications for compliance with appropriate building codes and project requirements
  • Attends pre-construction meetings and assists with the review of contract bidding documents
  • Supports project budget management by researching and providing cost estimates for labor, materials and equipment. Receives pay requests from contractors and approves for payment
  • Performs work on projects and assists in monitoring project progress. Ensures procedures and materials comply with specifications
  • Tracks construction processes using appropriate software
  • Other duties as assigned

Tasks may require interpretation or deviation from standard procedures. May provide assistance to entry level staff.
