Administrative Assistant, Maintenance
Job Description
Responsible for ensuring smooth operation of the Maintenance Department office by maintaining accurate records, preparing correspondence and assisting the Superintendent and Assistant Superintendent as requested.
Job Duties
  1. Work under the supervision of the Superintendent and Assistant Superintendent of Physical Plant.
  2. Perform all duties assigned in a timely manner.
  3. Responsible for adhering to established procedures.
  4. Maintain a log of all incoming phone calls, relaying messages as necessary.
  5. Maintain and order departmental office supplies.
  6. Order supplies for Housekeeping and Maintenance as needed.
  7. Maintain an accurate and complete filing system.
  8. Utilize radio system to contact, inform, relay and co-ordinate communications with campus personnel to provide timely information.
  9. Maintain a campus activity file and ensure that appropriate personnel are aware of campus functions.
  10. Report any issues that could be of concern to the Superintendent or Assistant Superintendent immediately.
  11. Work with contractors, subcontractors, and other vendors as assigned.
  12. Maintain an on-call list for maintenance employees.
  13. Enter requisitions for PO's in Banner as needed.
  14. Monitor expenditures.
  15. Type letters, reports, minutes from rough drafts.
  16. Ensure work orders are generated for all maintenance requests and maintain work order files.
  17. Maintain work hour records for Maintenance, Grounds, and Housekeeping personnel.
  18. Assist with Shipping/Receiving in the absence of the S/R Clerk.
  19. Must maintain a valid MS driver's license.
  20. Maintain effective working relationship with campus personnel, students, and community.
  21. Work with other college personnel as assigned.

Mandatory Qualifications
(M1) Minimum of an Associate Degree in Business and Office Technology or related area.
(M2) Minimum of 2 years' experience in business related area.
(M3) Proficiency in an applicable word processing program.
(M4) Must be able to communicate effectively with college personnel at all levels and with the general Public.
(M5) Proficient using Microsoft Suite (i.e. Excel, Word, PowerPoint, Outlook).
(M6) Must have and maintain a valid MS driver's license.
Desirable Qualifications
(D1) Experience in an educational environment.
(D2) Experience using Banner computer software.
(D3) Experience using a Work Order type system, such as School Dude, etc.
