SEACORP is seeking a well-qualified Entry Level Admin - Program & Travel Support.
Primary Duties and Responsibilities:
Job Summary: SEACORP is looking for an administrative manager who has strong analytical & communication skills, is detail oriented, and is great at time management. The administrative manager should have relevant work experience to join our Logistics Support team in the Electronic Warfare Business Area. Administrative managers can expect to work closely with multiple layers of management & technical staff as well as work with excel, compile monthly status reports, develop PPT presentations, take meeting minutes with action items, and other administrative duties. Candidates will also be responsible for travel coordination for multiple projects. They will manage employee travel and ensure the budget within the limits established by the contract, including per diem allowances and JTAR regulations. They will use discretion to make decisions regarding how and when employees travel while ensuring compliance with contractual and regulatory requirements. Successful administrative managers should be able to think creatively about problems and overcoming them, be able to work well within a team environment and should have excellent interpersonal skills.
Job Responsibilities Include:
  • Provide day-to-day operational support across program activities, ensuring workflows, schedules, and communications remain organized and aligned.
  • Provide essential administrative support such as preparing agendas, coordinating meetings, capturing meeting minutes, tracking action items, and maintaining organized documentation across program activities.
  • Manage end-to-end travel logistics including researching options, booking transportation and lodging, preparing itineraries, and coordinating changes or disruptions.
  • Prepare agendas, coordinate meeting logistics, capture accurate minutes, and distribute follow-ups to maintain continuity across recurring program meetings.
  • Maintain and update action item logs, monitor progress, and ensure responsible parties complete assigned tasks on schedule.
  • Gather updates, consolidate data, maintain trackers, and produce clear monthly summaries for leadership visibility and decision-making.
  • Coordinate travel related needs to support program operations.
  • Manage travel budgets by monitoring expenditures, ensuring costs remain within contractual limits, and maintaining compliance with per diem allowances and JTAR regulations.
  • Identify inefficiencies, recommend improvements, and support implementation of updated workflows or tools.
  • Ensure program activities follow organizational policies, contractual requirements, and quality standards; maintain audit ready documentation.

Qualifications:
Education: Bachelor's degree in a related field is preferred but not required.
Experience: Minimum of 2 years' experience required. Active Secret Security Clearance is strongly preferred. Ability to obtain and maintain a Secret Level Security Clearance is Required.
Ideal Skills and Experience:
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) is required.
  • Experience in U.S. Navy/Military programs or operations is preferred.
  • Experience as a program support specialist or in a similar administrative role is preferred.
  • Experience with travel coordination, administrative support, hospitality, or reservations is highly desired.
  • Familiarity with MS Visio is a plus.
  • Attention to detail and accuracy.
  • Ability to handle confidential information with discretion.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • A strong passion for learning with excellent analytical and creative problem-solving skills.
  • Ability to constructively collaborate with various individuals with a variety of personalities.
  • Adaptability and confidence in navigating uncertainty, paired with calm, proactive problem-solving under pressure.

Work Environment & Physical Demands: Office & Computer Laboratories - Sitting, standing, extended periods of time using a mouse and keyboard and viewing computer screens. Infrequent lifting of <40lbs. Movement between points within the same office or between buildings. Work is performed in generally consistent environmental conditions with some seasonality for temperature differences and lighting.
