Administrative & Accounting Assistant

Wanship Transportation is seeking an energetic, outgoing, and highly organized Administrative & Accounting Assistant to join our team.

Schedule: Monday–Friday | Full-Time
Pay: $19–$23/hour

This role is ideal for a go-getter who enjoys wearing multiple hats, thrives in a fast-paced environment, and can quickly pivot between projects and priorities. This is an entry-level position with room for growth in Accounting, Human Resources, and Office Management.

Essential Duties & Responsibilities

Accounting & Administrative Support

  • Process accounts payable invoices and maintain accurate vendor records
  • Assist with invoice tracking, data entry, reconciliations, and accounting support
  • Coordinate business travel, including hotel, flight, and rental car reservations
  • Maintain calendars, schedules, deadlines, and project timelines
  • Serve as a Notary Public for company-related documents

Office & Facility Management

  • Oversee janitorial, yard service, building, and facility vendors
  • Coordinate flag maintenance, repairs, replacements, and half-mast procedures
  • Coordinate facility-related service providers
  • Coordinate employee meals, meetings, and company events

Marketing & Employee Engagement

  • Order and coordinate business cards, banners, and marketing materials
  • Coordinate employee birthday recognition
  • Coordinate annual Christmas boxes, customer cards, and holiday activities

General Support

  • Manage multiple projects while meeting deadlines
  • Identify problems, develop solutions, and take ownership of tasks
  • Support leadership with special projects and administrative requests
  • Perform other duties as assigned
Qualifications
  • Previous administrative, office management, bookkeeping, or accounting experience preferred
  • Proficiency with Microsoft Office 365, including Excel, Outlook, Word, and Teams
  • QuickBooks Online or accounting software experience preferred
  • Strong organizational, multitasking, and communication skills
  • Excellent attention to detail and follow-through
  • Ability to maintain confidentiality and professionalism
  • Notary Public certification preferred or willingness to obtain
  • Experience coordinating travel, meetings, and special events
  • Valid driver's license and ability to run local business errands as needed
  • Comfortable learning and utilizing new technology and AI tools
