Job description

White Coat Planning is a new company inspired and guided by the principles of White Coat Investor. Its purpose is to provide comprehensive financial planning for all clients and investment management services for those who desire them. The firm is built on the foundation of offering good advice at a fair price, serving high-income professionals with integrity, expertise, and care. The Client Service Representative (CSR) is an entry-level role designed to provide essential operational and client support. This position is perfect for someone who is detail-oriented, organized, and interested in building a career in financial planning. The CSR role is the foundation of the firm's client service model and is designed to lead into the Associate Planner position after a minimum of one year.

Duties and Responsibilities

Client & Team Support

  • Act as assistant to both the Lead Planner and Associate Planner.
  • Manage scheduling including client reminders and nudges.
  •  Provide day-to-day administrative and client support to ensure seamless operations.

CRM Management

  • Maintain and update the firm's CRM with accurate data entry.
  • Complete workflows, task management, audits, and prospect reports.
  • Ensure records are complete and up to date for both clients and prospects.

Client Service

  • Coordinate client and planner scheduling and send meeting reminders.
  • Conduct document review and audit to ensure accuracy and completeness.
  • Manage client engagement activities including birthday emails, milestone cards, and gift acknowledgements (new baby, student loan payoff, etc.).

Billing & Operations

  • Provide billing support by updating account information and client service levels.
  • Assist with general administrative operations to support the financial planning team.

Qualifications

Required

  • No financial planning experience or prior knowledge needed.
  • Strong organizational skills and attention to detail.
  • Professional and proactive communication skills (written and verbal).
  • Ability to manage multiple tasks and deadlines.

Preferred

  • Experience in administrative or client service roles.
  • Comfort with software systems and CRM tools.

Working Conditions

This role primarily involves remote work, with occasional travel for White Coat Planning conferences or client events. The position includes health insurance and access a 401(k).

Pay

Starting salary is $60,000, with a bonus structure added after one year of employment.

This role centers on three focus areas:

  1. Administrative & Scheduling Support

You'll play a central role in supporting both clients and planners by keeping schedules and operations running smoothly.

  • Manage scheduling through Calendly for the team, including reminders and nudges.
  • Provide direct support to Lead and Associate Planners.
  • Act as the first point of contact for certain client service needs.
  1. CRM & Client Service Calendar

The CSR owns the CRM and ensures the client service calendar is managed effectively.

  • Enter and maintain accurate data in the CRM.
  • Track and complete workflows, task management, and audits.
  • Manage the client service calendar, sending reminders for document uploads, reviewing submissions, and completing document audits.
  • Coordinate milestone touches such as birthday messages, congratulatory notes, and sending cards/gift cards for significant client events.
  1. Billing & Growth Path

In addition to supporting billing operations, the CSR role is designed as the first step in the firm's financial planning career track.

  • Support billing by updating account information and service levels.
  • Ensure accuracy in client account records.
  • Serve as an entry-level position that leads to Associate Planner after at least one year.
  • Gain exposure to the financial planning process with opportunities to learn and grow within the firm.
