Title: Business Development Associate (bilingual Mandarin/English)

Report to (title): VP, BD

Location: Malvern, PA, USA

Supervisory Responsibility: No

FLSA Status: Exempt

Position Type: Full Time

Travel Required: 2 times per year

Expected Hours of Work: 40 hours a week; M-F 9-5 in office in Malvern, PA, USA (with the occasional 2-3 nights per week of less than 1 hour communication with China, in exchange, you have flexibility during the day so you should not be working more than 40 hour weeks in total)

Description

Sales Support & Order Handling

       Serve as a key point of contact for customer communications (orders, product inquiries) and ensure timely follow-up.

       Prepare and manage accurate, on-time quotations.

       Coordinate order fulfillment with cross-functional teams (Sales, Production, QC/QA, Logistics, Finance) to meet quality and delivery targets.

       Supervise domestic and international shipments, including package clearance and customs documentation.

       Resolve product or delivery issues by coordinating with internal teams and communicating clear corrective actions to customers.

       Maintain accurate CRM records and prepare regular sales/operational reports.

       Assist with operational tasks such as laboratory sample coordination, testing support, and process optimization initiatives.

       Provide warehouse operations support (e.g., inventory reconciliation).

       Support trade show activities with pre-show planning and post-event lead follow-up.

Cross-Border Operations & Coordination

       Act as liaison between U.S. and China teams to ensure smooth communication and alignment on priorities.

       Coordinate cross-team workflows to prevent delays in inventory updates and order processing

       Communicate new product availability and pricing (cost, MOQs, lead times).

       Obtain required documentation to support customer, regulatory, and audit needs.

       Coordinate technical inquiries (methods, specifications, stability) between clients and the manufacturing team.

Education, License, Certification, or Preferred Qualifications

       Preferred Experience: Familiarity with technical documentation such as COAs, SDSs, and GMP compliance requirements.

       Preferred Experience: Understanding of global shipping processes and regulatory documentation.

       Preferred Education: Bachelors; Chemistry knowledge is a plus not a requirement.

       Preferred Years of Work: 0-3 years of experience in business development, sales operations, or account management (B2B experience preferred).

       Strong communication and negotiation skills, both written and verbal.

       Analytical mindset and ability to manage multiple projects simultaneously.

       Detail-oriented, self-motivated, and able to thrive in a fast-paced environment.
