Reports to: Director of Insurance Operations
Exempt
Remote or Hybrid Role

Position Summary
We are seeking a dependable, detail-oriented Administrative Assistant to support daily operations through accurate data entry, record maintenance, policy service, commission administration, and project tracking. This entry-level role is well suited for someone beginning their career who is organized, comfortable working with data, and eager to develop within the insurance and financial-services industry.
As part of Advisor Insurance Solutions, the insurance platform supporting Apollon advisors and external advisory firms, this individual will gain hands-on exposure to insurance operations, carrier relationships, licensing and contracting, commissions, and project coordination. The role offers an opportunity to build a strong professional foundation, learn from experienced industry leaders, and take on greater responsibility as knowledge and capabilities grow.
The Administrative Assistant will communicate with insurance carriers, prepare and review paperwork, maintain project and task trackers, and support priorities across the team. Success in this role requires accuracy, follow-through, professionalism, and a genuine interest in learning how a growing insurance organization operates.
Key Responsibilities
  • Enter, update, and maintain information in company databases and spreadsheets with a high degree of accuracy.
  • Review data for completeness and correct errors or inconsistencies.
  • Maintain confidential records and handle sensitive information appropriately.
  • Assist with preparing reports, forms, and other administrative documents.
  • Answer and direct phone calls and respond to routine emails.
  • Support team members with general administrative tasks and special projects.
  • Assist with state licensing & contracting requirements, as needed
  • Support project tracking, task lists, and status updates for assigned initiatives.

Qualifications Required
  • Bachelor’s degree in business, finance, or related field; equivalent experience considered
  • Proficient in Microsoft Word, Excel, and Outlook.
  • Strong attention to detail and organizational skills.
  • Ability to accurately enter data while meeting deadlines.
  • Good written and verbal communication skills.
  • Ability to work independently and as part of a team.
  • Professional attitude and willingness to learn.
Preferred
  • Previous administrative, clerical, customer service, or office experience (internship, volunteer, or part-time experience is welcome but not required).
  • Experience using spreadsheets or database software.
