Job description

Position Overview

This is a Federal Work Study Program (FWSP) student clerical position with Enrollment Services in Student Affairs, in which the student will perform computer and customer service-related duties in an office setting.

Hours per Week

  • Up to 25 hours per week.
  • Flexibility offered, Monday-Friday, 8am-5pm.

College/Department Overview

Enrollment Services is a department within the division of Student Affairs.

Department Specific Job Functions

The student will assist Enrollment Services staff by performing clerical and customer service-related duties which may include, but are not limited to computer use, typing, making copies, filing documents, answering telephones, taking messages, data entry, processing transcript requests, scanning documents, running office errands, answering questions, assisting the front area of Admissions, providing customer service to students, faculty and staff, and other duties as assigned.

Enrollment Requirements

Fall/Spring Semesters: All student employees must be enrolled at least half-time to be eligible to work any UCO student position. Half-time enrollment for fall/spring semesters is considered 5 hours for graduates and 6 hours for undergraduates. F1/J1 Visa students must be enrolled full-time to be eligible to work as a student employee. Full-time enrollment is 9 credit hours for graduates and 12 credit hours for undergraduates.

Summer Semester: To work in a regular student position during the summer semester, students must be enrolled in at least 3 summer credit hours or be enrolled in the upcoming fall semester in the minimum credit hours required for their classification and employment type. Students enrolled in fewer than 3 summer credit hours will be subject to FICA taxes during the summer term, which apply to both the student and the department. For Federal Work Study Program (FWSP) positions, students must be enrolled in at least 6 credit hours (undergraduate) or 5 credit hours (graduate).

Note: New incoming students are not eligible for student employment until the semester in which they begin classes.

Enrollment Exception: If the number of credit hours needed to graduate is less than the minimum number of hours required for student employment, the student must obtain a letter from their Academic Advisor (stating the number of hours needed to graduate and anticipated graduation date) and submit it to Human Resources. This pertains to both regular and Federal Work Study Program positions. Contact jobs@uco.edu for more information.

FWSP Requirements

To be considered for Federal Work Study Program (FWSP) employment, you must be awarded work study through the Office of Financial Aid & Scholarships. Please be aware, the summer FWSP award is a separate application process, and is not included with the fall/spring FWSP award. Contact Financial Aid for more information.

Enrollment requirements for FWSP employment are the same each semester. Undergraduates must be enrolled in a minimum of 6 credit hours, and Graduates must be enrolled in a minimum of 5 credit hours. If a student is enrolled in their final semester and the number of credit hours needed to graduate is less than the minimum number of hours required for student employment, the student must obtain a letter from their Academic Advisor (stating the number of remaining credit hours needed to graduate and the anticipated graduation date) and provide the letter to the hiring department for submission to Human Resources. Qualifications/Experience Required

Our successful candidate will be expected to place high importance on punctuality and dependability at the job. While a student's primary function at UCO is the achievement of one's degree goals, we expect your devoted time and attention to the work at hand while you are on the clock. This individual must be able to be a positive first contact for all visitors to Enrollment Services and be able to assist students with enrollment and university business-related issues. Excellent written and verbal communication skills are needed to succeed in this administrative support role. We expect this student office assistant to be able to remain calm under pressure. Basic knowledge of office equipment is needed (copier, fax, scanner, etc.). Computer literacy is required, including Microsoft Office programs such as Word, PowerPoint, Excel, and Outlook. Efficiency to research data on the internet is needed. The ability to multitask and to honor the importance of confidentiality with office matters are expectations for this position. This student office assistant needs to have a sensitivity of intercultural communication and possess good interpersonal skills.
