What You'll Be Doing:

The Administrative Assistant provides clerical and administrative support to the HR Administrator and Department Managers. This role includes handling confidential documents, assisting with HR processes, maintaining employee records, and ensuring compliance with company policies.

  • Confidential Document Management - Maintain and securely file personnel and other confidential documents.
  • Employee Records Management - Organize and update employee records in accordance with company policies and legal requirements.
  • Technical Proficiency - Utilize Teams, Microsoft Word, Office, PowerPoint, and Excel to complete administrative tasks efficiently.
  • Recruitment Support - Prepare interview materials, employee identification documents, and other necessary paperwork.
  • Onboarding & Promotions - Assist with onboarding new hires and processing promotions by preparing new hire packets, offer letters, promotion letters, and making copies of necessary identification documents.
  • Benefits Administration - Support the open enrollment process, ensuring all employees receive enrollment forms and benefit materials. Answer employee inquiries regarding benefits plans.
  • Compliance Support - Ensure adherence to HR policies, company procedures, and legal regulations.
  • Communication - Respond to employee inquiries and relay information between employees and management.
  • Administrative Tasks - File documents, manage calendars, coordinate meetings, and assist with general office operations.
  • All other administrative tasks assigned within scope of position.

What You'll Need to Succeed:

Requirements:

Minimum:

  • Confidentially a must.
  • Ability to sight type.
  • Should be able to type 45 words per minute with minimal errors; must be proficient with excel
  • High School Diploma or equivalent
  • One (1) year related experience in a similar position or relevant education

Preferred:

At least two (2) years' experience in secretarial work and a thorough knowledge of styles of correspondence and office practices to include an operating knowledge of personal computers, computer terminals and word processing programs.

General Information:

In order to perform the essential job functions of this position, the candidate must be able to compose/write descriptive reports and transcribe reports and correspondence. Establish and maintain positive working relationships with all employees and the customer.

Confidentiality Requirement: The employee must maintain strict confidentiality of all sensitive and proprietary information. They are expected to handle confidential data with discretion and ensure it is not disclosed to unauthorized individuals.

Must have a level of attention to detailed work.

Knowledge Required:

Operate office equipment such as fax machines, copiers and phone systems and use computers for spreadsheets, word processing, database management and other applications (Microsoft Office) and internet search engines.
