Job description

OVERVIEW
JOB TITLE: International Admissions Graduate Assistant
LOCATION: St. Paul Campus
PAY $16.50
JOB SUMMARY:
International Admissions is seeking an International Admissions Processing Assistant (PA) at the Graduate Student level. International Admissions (IA), together with the Office of International Students & Scholars and the Office of Study Abroad, make up the Global Learning and Strategies (GLAS) unit. IA is responsible for recruiting international undergraduate students and managing the application and enrollment process, with the goal of increasing international enrollment at the university.
ESSENTIAL FUNCTIONS:
Direct Responsibilities:
Document Processing and Data Entry:
  • The PA will assist in managing student records and processing application documents. This important task requires diligence and attention to detail. The primary software system will be SalesForce, but the PA also needs to be proficient in excel as well as the Microsoft suite. The PA will also be expected to help with prospective student inquiry data entry. Skills in Excel are strongly preferred.

Communication:
  • The PA position is the primary contact for the international admission inbox. The PA must have excellent written skills and be able to organize and work through many email inquiries from students of all backgrounds and coming from various curriculums.
  • Additionally, the PA manages inquiries in Whatsapp.

International Admissions recruitment support:
  • The PA responds to prospective student inquiries via email, telephone, and social media and serves as back-up to IA staff for student appointments and walk-ins. The PA may deliver presentations for visiting student groups and at local high schools and English language schools. During recruitment travel season the PA may serve as the only in-house IA staff, and must be comfortable working independently with remote supervision.

Marketing Content Development:
  • The PA will assist in developing and reviewing marketing content, including brochures, social media, videos, and other digital and print media. This portion of the role is based on interest and skill level.

  • There are limitless ways for the PA to get involved in the recruitment efforts and develop additional skills and abilities. Opportunities include, but are not limited to: technology development (web, Salesforce, email distribution lists, etc.), data collection, collaborating with student groups, filling in at the reception desk, assisting the other GLAS components, representing the university at recruiting events, and more.
  • Covering front desk when there is a gap in hours. You will be trained on the basics in order to answer entry level questions if you ever need to cover the front desk as back-up.

QUALIFICATIONS:
  • Viable candidates will be enrolled in a graduate or undergraduate degree program at the University of St. Thomas with professional skills matching the preferred qualifications.

Candidates will be available to work 20 hours per week during the semesters, with opportunitites for additional hours during J-term and summer. Expected start date is September 9, 2026.
