Job description

Job Summary:

The Part-Time Club Manager plays a key leadership role in overseeing the daily operation and success of the Club. This position is responsible for the daily operations of a Boys & Girls Club site with a focus on delivering a high-quality, equitable member experience, managing facilities, and ensuring alignment with the Clubโ€™s mission and grant-funded initiatives. The Club Manager serves as an effective leader and communicator who can motivate staff and volunteers to uphold a culture of excellence, maintain a safe and welcoming environment, oversee program compliance, and promote financial sustainability. The role requires the ability to handle high workloads, meet deadlines, and manage interruptions with composure and ease. This is a grant-funded position, and continued employment is contingent upon the availability of funding.

Essential Functions & Responsibilities:

Mission Impact

  • Plan programs and activities that align with Boys & Girls Clubs of Greater Milwaukee (BGCGM) mission and offer a positive member experience for youth ages 4โ€“18.
  • Oversee implementation of high-quality programs through continuous quality improvement (CQI).
  • Manage program partner relationships to ensure consistent and mission-aligned programming.
  • Submit annual outcome tracking reports as required.
  • Prepare and submit comprehensive program plans for school year and/or summer programs.
  • Coordinate member registration processes to ensure accuracy and accessibility.
  • Conduct annual data certification to maintain accurate membership and participation records.

People Power

  • Recruit, hire, and onboard staff according to BGCGM and DCF251 requirements.
  • Facilitate new hire orientation and ongoing staff development, including annual professional development requirements.
  • Supervise, schedule, and evaluate staff performance, including timecard approvals and job changes.
  • Conduct regular 1:1s, staff meetings, and performance reviews.
  • Manage staff discipline as needed.
  • Ensure staff requirements compliance with DCF251 for group childcare centers.
  • Maintain compliance with The Registry, Youngstar, and CCPP.

Safety

  • Conduct quarterly and annual safety assessments to maintain a safe Club environment.
  • Oversee development and implementation of Emergency Action Plans and conduct regular emergency drills.
  • Lead and implement child tracking, parent pick-up, and other child safety procedures according to BGCGMโ€™s Member Care Manual and DCF251 regulations.
  • Maintain proper staff: child ratios during Club program hours.
  • Conduct monthly DCF walkthroughs to ensure compliance with state licensing requirements.
  • Complete and record incident reports and maintain medical logbook as required by DCF251.

* Oversee facility and vehicle maintenance, including annual vehicle inspections, preventative maintenance, and cleanliness.

* Track and monitor Club vehicle routes for safety and efficiency.

Financial Sustainability

  • Track and monitor Club finances bi-weekly, including budget tracking and cash deposits for a budget up to $200,000.
  • Manage marketing, registration, and collection of WI Shares and private pay fees to ensure the Clubโ€™s overall financial sustainability.
  • Oversee purchasing and invoicing processes using proper databases.
  • Complete monthly reviews of general ledger for accuracy.

*Serve as a Club credit card holder, ensuring responsible use and reconciliation of expenses.

Compliance

  • Ensure timely submission of monthly club reports and adherence to internal and external reporting requirements.
  • Uphold Club policies and requirements according to the Employee Handbook, Member Care Manual, and DCF251 for group childcare centers.
  • Ensure compliance with grants that are a part of the Clubโ€™s budget.
  • Oversee completion of all required assessments, reviews, and reports related to staffing, safety, and program performance.
  • Maintain CACFP food program training and compliance with all meal service requirements.
  • Ensure adherence to Youngstar quality standards and continuous improvement efforts.

Education Requirements:

One of the following is required:

  • Bachelorโ€™s Degree in Education (preferred)
  • Associate's degree (preferably in childcare or related field)
  • High School Diploma with Registry Credential for Center Director 51+
