Job Summary

The Administrative Assistant III provides expert-level administrative and operational support to leadership teams, ensuring seamless coordination across projects, schedules, and departmental activities. This role requires a high level of discretion, initiative, and technical proficiency to manage complex administrative tasks and drive organizational efficiency.


Key Responsibilities
  • Executive Support & Coordination

    • Provide advanced administrative leadership to department heads and project teams.

    • Independently manage calendars, appointments, and meeting logistics, prioritizing critical activities to maximize efficiency.

    • Coordinate and organize high-profile meetings, conferences, and events, overseeing all logistics, agendas, and follow-up deliverables.

  • Documentation & Communication

    • Prepare, proof, and format complex reports, correspondence, and executive-level presentations.

    • Demonstrate advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and modern collaboration platforms (e.g., Teams, SharePoint, OneDrive).

    • Act as a central communication point for internal and external stakeholders, maintaining professionalism and confidentiality at all times.

  • Research & Reporting

    • Conduct in-depth research and data analysis to prepare comprehensive reports supporting strategic planning and decision-making.

    • Track departmental performance metrics, project deadlines, and deliverables, ensuring alignment with business objectives.

  • Financial & Project Administration

    • Manage and track departmental budgets, expenses, and financial reports with precision and compliance to company policies.

    • Process procurement requests, expense reimbursements, and invoice payments as required.

    • Support the administration of departmental projects and cross-functional initiatives, maintaining visibility of milestones and dependencies.

  • Confidentiality & Professionalism

Qualifications
  • Education:

    • Associate’s or Bachelor’s Degree in Business Administration or related discipline (preferred).

  • Experience:

    • Minimum 5 years of experience providing executive-level administrative support.

    • Prior experience within utilities, engineering, or corporate project environments strongly preferred.

  • Skills & Competencies:

    • Outstanding written and verbal communication skills.

    • Proven ability to work independently with minimal supervision.
