Position Summary:

We are seeking an Engineering Administrator to serve as the backbone of our Engineering department, to take the recurring, process-based work off the engineers and project staff so they can focus on the technical nature of their work.

The successful candidate will keep project information accurate, organized, and moving, entering data into our company's systems to help produce submittals and project outputs. The incumbent will be responsible for following up with customers by phone and email, and keeping tabs on project requirements, timelines, and process steps to ensure nothing gets overlooked. This candidate owns the volume of work, project start-ups, files and folders, data upkeep, sending and receiving information with near-perfect accuracy.

Engineering Administrator

Key Responsibilities:

  • Enters data into company systems to support the development of submittals and other project outputs
  • Sets up and maintains project files, folders, and records, keeping data clean, current, and where it should be
  • Conducts customer follow-ups by phone and email; sends and receives project information, tracks missing information, and confirms receipt of correspondence
  • Tracks project requirements, deadlines, and process steps; flags what's due, late, or blocked and keeps the team aligned with timelines
  • Runs the recurring administrative workflow of the department, project start-ups, routine processing, and the ongoing high-volume tasks that keep projects moving
  • Keeps written records of communications and decisions
