Job DescriptionOverview

We are seeking a Project Assistant Energy, to join our Team in our Oak Ridge, TN office.

Your role
  • Stops work without fear of reprisal for unsafe conditions potentially affecting personnel safety or environmental risk.

  • Performs general office duties - filing, copying, faxing, scanning, mailing and data entry.

  • Greets and processes visitors' requests upon arrival and handles sign-in log and security requirements.

  • Handles incoming and outgoing mail and shipments (internal and external).

  • Arranges travel through internal or outside agents and completes expense reports as requested.

  • Coordinates meetings and updates calendars and schedules and arranges catering needs as requested.

  • Handles routine maintenance requests as they are related to office equipment and the facility and directs routine office services vendors as appropriate.

  • Orders and maintains office supplies, janitorial supplies and coffee supplies.

  • Provides reprographics and document assembly support for various tasks.

  • Prepares correspondence from rough draft through distribution.

  • Assists in writing procedures and provides technical editing support.

  • Formats and edits various documents and prepares weekly or monthly reports.

  • Reconciles Purchasing Card expense receipts and prepares expense reports for cardholders of business credit cards.

  • Prepares and submits Electronic Purchasing Requisitions (EPRs) for procurements of supplies and equipment and maintains cost tracking for Basic Ordering Agreements.

  • Assists the technical organizations in organizing and cataloging supply inventory and ordering supplies as necessary.

  • Maintains and updates various databases using MS Excel.

  • Assists Facility Manager in conducting and recording the Plan of the Day (POD) and Plan of the Week (POW).

  • Prepares and issues Standing Orders (SO) and Stop/Suspend Work Orders at the direction of the Facility Manager.

  • Updates and maintains various notebooks for the Operations group (i.e., Control Room books and Evolution books).

  • Processes, records and files Work Packages for the Operations and Maintenance groups.

  • Processes, records and files Radiological Controls (RADCON) records for the RADCON group.

  • Coordinates recycling efforts for building.

  • Processes telephone requests for new phone installations and relocations for building.

  • Provides back-up support to other administrative assistants.

  • Supports the execution of Integrated Safety Management System (ISMS) guiding principles and core functions and the Isotek Safety Culture.

  • Performs other duties as assigned.

About you
  • High school diploma or equivalent.

  • Minimum two (2) years' experience as an Administrative Assistant. Five (5) years preferred.

  • Advanced knowledge of Microsoft Office, Foxit PDF Editor.

  • Procedure writing and technical editing skills preferred.

  • Strong communication, verbal and written skills.

  • Excellent organization skills and attention to detail.

  • Ability to interface at all levels of the organization and with the customer.

  • Applicants selected will be subject to a federal background investigation and must meet eligibility requirements for access to classified information or matter.

  • Applicants must have Real ID compliant identification to access the work location.

  • U.S. citizenship requires for AtkinsRealis/Isotek Systems, LLC project positions.
