JOB DESCRIPTION

The Logistics Coordinator is responsible for managing over the road (OTR) trucking operations, including the coordination of inbound and outbound freight activities. This role ensures timely and efficient processing of shipments, effective communication with carriers and internal teams, and a consistent standard of service from order placement to delivery. The position requires attention to detail, strong organizational skills, and the ability to coordinate across departments.


KEY RESPONSIBILITIES

Freight Coordination

  • Coordinate over the road (OTR) trucking shipments from start to finish, including scheduling pickups and deliveries, dispatching carriers, and ensuring timely fulfillment
  • Confirm shipment details including product, quantities, carrier assignments, and delivery dates before dispatch
  • Ensure all required shipping documentation, including bills of lading and proof of delivery, is complete and accurate

Carrier and Customer Communication

  • Provide proactive updates to customers and internal stakeholders on shipment status, potential delays, and issue resolution
  • Respond to inquiries regarding freight tracking, delivery timelines, and logistics within established response time standards
  • Escalate service failures, significant delays, or carrier performance issues to the Supply Chain Manager promptly with a written summary of the issue and actions taken to date

Shipment Tracking and Monitoring

Monitor shipment progress across OTR carriers daily and flag delays, routing changes, or discrepancies to the Supply Chain Manager within the same business day

Provide regular status updates to customers and internal teams regarding tracking, delays, or changes to maintain transparency

Documentation and Compliance

  • Ensure compliance with federal and state transportation regulations, including Department of Transportation (DOT) requirements and Federal Motor Carrier Safety Administration (FMCSA) guidelines
  • Review and verify all shipping documents, bills of lading, and proof of delivery records for accuracy
  • Maintain complete and organized records of all logistics transactions, carrier communications, and shipment changes in the system

Problem Resolution

  • Address issues related to delays, discrepancies, damaged freight, and other shipment related challenges by collaborating with carriers, internal teams, and external partners
  • Document all issues and resolutions and communicate outcomes to affected parties promptly

Internal Coordination and Team Communication

  • Communicate daily with warehouse, sales, and customer service teams regarding shipment schedules, carrier availability, and customer requests
  • Provide a daily end of day status update to the Supply Chain Manager on all open shipments, pending issues, and completed resolutions
  • Participate actively in team meetings and share relevant logistics trends, carrier performance data, and recurring issues

Sales Support

  • Assist the sales team with freight quoting, delivery scheduling, and logistics planning for new and existing accounts as directed
  • Identify and communicate cost saving or efficiency opportunities observed during day to day logistics operations to the Supply Chain Manager


PERFORMANCE EXPECTATIONS

  • The following standards will be used to evaluate performance in this role:
  • On time delivery rate of 95% or higher, measured monthly
  • All shipment inquiries acknowledged or responded to within established response time standards
  • Daily end of day status updates submitted to the Supply Chain Manager consistently
  • Zero instances of unauthorized carrier commitments or freight rate approvals made without manager authorization
  • Active, constructive participation in team meetings and cross functional communication
  • Demonstrated improvement in carrier management, TMS proficiency, and regulatory knowledge within the first 90 days
