What is an email management virtual assistant?

Email Management Virtual Assistants are professionals who help individuals or businesses efficiently manage their email inboxes. Their responsibilities typically include sorting emails, responding to inquiries, filtering spam, flagging urgent messages, organizing folders, and maintaining a streamlined communication flow. By delegating these tasks to a virtual assistant, clients can save time, reduce overwhelm, and focus on more important aspects of their work. These assistants often work remotely and use secure methods to handle confidential information.

What are the key skills and qualifications needed to thrive as an email management virtual assistant?

To thrive as an Email Management Virtual Assistant, you need strong organizational skills, attention to detail, and proficiency in written communication, typically supported by experience in administrative support or customer service. Familiarity with email platforms (like Gmail or Outlook), productivity tools (such as Slack, Trello, or Asana), and basic knowledge of email filtering and automation tools are commonly required. Proactive problem-solving, discretion, and time management are essential soft skills that help you efficiently handle high volumes of correspondence while maintaining confidentiality. These skills and qualities are crucial for ensuring prompt, accurate email handling and supporting smooth business operations for clients.

What are the most common challenges faced by an email management virtual assistant, and how can they be addressed?

To address this, it's important to establish clear organization systems—such as labeling, filtering, and categorizing emails—and to communicate regularly with your client about priorities and expectations. Additionally, learning to draft templates for frequent responses and staying proactive with follow-ups can greatly improve efficiency and client satisfaction. Adapting to each client's preferred communication style and tools is also key to success in this role.

Position Summary
The Marketing Operations Specialist, Email & SMS is responsible for the planning, execution, optimization, and reporting of Atlanta United's email and SMS marketing communications. This role serves as a key operational partner across Ticketing, Membership, Premium Sales, Partnerships, Creative Services, Digital Product, and Marketing Operations to deliver timely, accurate, and impactful campaigns that support both brand and revenue objectives.
The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment. This position manages recurring CRM communications, supports integrated marketing campaigns, oversees the email and SMS editorial calendar, coordinates creative production workflows, develops compelling fan-facing messaging, and helps execute marketing initiatives that drive awareness, engagement, lead generation, ticket sales, and member retention. The successful candidate will demonstrate strong project management skills, exceptional attention to detail, and a passion for delivering personalized fan experiences through data-driven marketing.
Core Responsibilities
Campaign Management
  • Execute recurring and ad hoc email campaigns, including membership communications, ticketing promotions, premium sales initiatives, service messaging, club announcements, and fan engagement efforts.
  • Build, QA, schedule, deploy, and monitor SMS campaigns to ensure accuracy, compliance, and timely delivery.
  • Coordinate stakeholder reviews, approvals, and deployment schedules across multiple departments.
  • Support audience segmentation, targeting, and personalization strategies to maximize campaign effectiveness and engagement.
  • Ensure all communications align with Atlanta United brand standards, campaign objectives, and organizational priorities.
  • Own and maintain the Email & SMS Editorial Calendar within Monday.com and other project management platforms.
  • Coordinate communication schedules across departments to minimize audience fatigue and prevent overlapping messages or competing offers.
  • Support the development, execution, and optimization of automated lifecycle marketing programs, including new fan onboarding journeys, membership engagement campaigns, renewal initiatives, and other CRM touchpoints.
  • Assist the Integrated Ticket Sales Marketing Team in developing and executing marketing initiatives that increase brand awareness, deepen fan engagement, and generate qualified sales leads.
  • Support the creation and deployment of marketing content across multiple channels, including paid media, email, SMS, digital advertising, and promotional campaigns designed to engage fans, season ticket members, and partners.
  • Write and adapt compelling email and SMS copy that supports campaign objectives, aligns with brand standards, and drives fan engagement, lead generation, conversion, and retention.
  • Serve as a liaison between Brand Marketing, Ticket Sales & Service, Digital Product, Corporate Partnerships, and other internal stakeholders to ensure alignment, manage deliverables, and maintain a consistent brand voice across communications.
  • Analyze fan data, campaign performance metrics, and engagement reports to identify trends, develop actionable insights, and make recommendations that improve marketing and sales outcomes.
  • Develop a strong understanding of omni-channel marketing strategies, fan journeys, audience behavior, and marketing technology platforms to effectively support both business and brand objectives.
  • Support special projects, department initiatives, and other responsibilities as assigned.
  • Effectively manage multiple priorities while proactively communicating updates, identifying risks, and navigating shifting deadlines.

Content Development, Copywriting & Quality Assurance
  • Draft, write, edit, proofread, and distribute email and SMS copy for stakeholder review and approval.
  • Develop engaging, audience-focused messaging that reflects Atlanta United's brand voice and supports ticket sales, membership, fan engagement, partnership, and promotional initiatives.
  • Partner with Creative Services, Digital Product, and other internal teams to manage project requests and ensure timely delivery of campaign assets.
  • Develop comprehensive marketing briefs that clearly define business objectives, target audiences, creative requirements, timelines, deployment plans, and success metrics.
  • Conduct thorough quality assurance reviews, including copy validation, audience verification, personalization testing, link testing, creative review, rendering checks, and deployment readiness assessments.
  • Maintain a high standard of accuracy, consistency, and attention to detail across all CRM communications and marketing deliverables.
  • Ensure all communications comply with established brand standards, platform best practices, and internal review processes.

Reporting & Insights
  • Monitor campaign performance and key engagement metrics across email and SMS channels.
  • Compile and distribute recurring performance reports that provide meaningful insights and recommendations to stakeholders.
  • Identify opportunities to improve campaign performance through testing, optimization, segmentation, messaging strategy, and audience targeting enhancements.
  • Support ongoing analysis of fan behavior, marketing attribution, and customer lifecycle performance to inform business decisions.

Required Qualifications
  • Bachelor's degree in Marketing, Communications, Business, Sports Management, or a related field preferred.
  • Two or more years of experience in marketing operations, CRM, lifecycle marketing, digital marketing, content marketing, or a related discipline.
  • Hands-on experience executing email and SMS marketing campaigns.
  • Strong copywriting, proofreading, and editing skills with the ability to tailor messaging for different audiences, business objectives, and stages of the fan journey.
  • Excellent written and verbal communication skills.
  • Strong project management and organizational skills with the ability to manage multiple priorities simultaneously.
  • Experience working within marketing technology platforms, CRM systems, or marketing automation tools.
  • Exceptional attention to detail and commitment to quality.
  • Analytical mindset with the ability to interpret data and translate insights into recommendations.
  • Strong interpersonal skills with the ability to build relationships and collaborate effectively across teams.
  • Ability to thrive in a deadline-driven, fast-paced environment.

Preferred Qualifications

  • Experience working with CRM, email marketing, SMS, and marketing automation platforms.
  • Familiarity with audience segmentation, customer journey development, campaign performance reporting, and A/B testing.
  • Experience with Monday.com or similar project management tools.
  • Knowledge of creative production workflows, campaign intake processes, and cross-functional marketing operations.
  • Experience supporting integrated marketing campaigns that include paid media, digital advertising, CRM, and partnership activations.
  • Understanding of fan acquisition, retention, engagement, and conversion strategies within a sports or entertainment environment.
