Job description

Position:                     Office Assistant (2A)
Reports to:                 Principal and/or designee
Employment Status:  Part-time (6 hours a day)
Status:                         Classified
Contract Days:            188
Description: We are seeking a detail-oriented and highly organized individual to join our administrative team. The ideal candidate will provide comprehensive clerical and administrative support to ensure the efficient operation of the school or department. Responsibilities include managing the student attendance process, Answer phones and direct calls accordingly; greet visitors and answer their questions and concerns; provide secretarial support by preparing correspondence, filing, operating office equipment, and clerical functions; possess the ability to perfrom numerical calculations, filing and comprehensive reports; ability to work with children in a way that is cooperative, productive, and acceptable.  Maintains excellent attendance and high moral character to carry out responsibilities effectively. 
The successful candidate should demonstrate proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), strong communication skills, and the ability to work both independently and collaboratively in a fast-paced environment.

Essential Functions:












  • Implement office procedures that assure efficient assistance to students, parents, teachers, and counselors
  • Prepare correspondence, schedules, programs, and training, as needed
  • Manage the student attendance process
  • Assist visitors and parents as needed
  • Oversee and maintain DASL and various student information systems
  • Assist with tracking students and creating reports as requested
  • Prints forms, brochures, and booklets as directed
  • Prepares local, state, or federal reports as needed
  • Maintain records and files as required
  • Update and maintain the student database, and update information for programs like the automatic call service and website
  • Maintain student records for things such as CVCC, home instruction, health concerns, and other areas of need
  • Maintain parent-teacher conference scheduling and generate a schedule for administrators
  • Prepares letters, reports, requisitions, and other documents; proof-read for accuracy
  • Performs routine office duties
  • Oversee commencement and/or transition activities
  • Make contacts with the public with tact and diplomacy
  • Maintain respect at all times for confidential information
  • Interact in a positive manner with staff, students, and parents
  • Promote good public relations by personal appearance, attitude, and conversation


Other Duties and Responsibilities:

  • Demonstrates regular and punctual attendance

  • Works cooperatively with others in small groups
  • Perform other duties as assigned by the Superintendent or designee
     

About You:

  • High school diploma or general education degree (GED)
  • Training and/or experience, which evidences a basic knowledge of word processing, secretarial duties, and communication skills (verbal and written)
  • Such alternatives to the above qualifications as the Superintendent and/or Board of Education may find appropriate

A wide variety of co-curricular offerings are available to students of all ages in the Garfield Heights City Schools as well. Such opportunities include more than 18 varsity sports, the district's show choir, Music Express, Marching Band, Theater, A Capella Choir, National Honor Society, Student Council, Glass Ceiling, Future Engineers, and more. These co-curricular offerings are award-winning on the state, regional and local levels.
