Expected Starting Salary Range: $17.95

SUBFUNCTION DEFINITION:

CCHMC’s Health Information Management team is seeking a self-starter to join our team as a Medical Records Scanner. As a Medical Records Scanner, you will prepare and process patient records for scanning as well as prepare documentation for projects. This is an entry-level/temporary role. Ideal candidates will have great communication skills, attention to detail and accuracy, and reliable transportation with punctual attendance.

**This role is projected to be a 3-month temporary assignment with the possibility of extending up to 12 months**

REPRESENTATIVE RESPONSIBILITIES

Customer Service:

  • Demonstrate effective communication skills by promptly answering calls, greeting and assisting HIM Department customers, and providing information following defined paths.
  • Prioritize and respond to multiple requests for information, acting as a resource on ECRM policy and processes.
  • Serve as a liaison with other departments, external agencies, and vendors, troubleshooting issues and proposing solutions.
  • Orient new staff and function as an effective team member within individual and departmental teams.
  • Provide assistance to CCHMC staff and customers, processing requests for patient information while adhering to HIPAA and HIM department standards.
  • Assist with the appropriate release of patient information and demonstrate flexibility in work assignments to meet all customers' needs.
  • Coordinate requests for information related to research, payment, and healthcare operations.

Patient Records:

  • Collect and reconcile discharged patient records from Inpatient units and Same Day Surgery.
  • Collect outpatient records from clinical areas and other designated locations.
  • Prepare documents for imaging following established procedures.
  • Sort documents according to established prepping procedures.
  • Convert and manage electronic images using electronic scanning technology.
  • Operate scanners to produce high-quality electronic images of documents.
  • Upload images electronically into the Imaging system upon satisfactory completion of quality review.
  • Identify issues and initiate discussions to resolve them.
  • Add accounts to Quanum when scanning of clinic shadow records necessitates special account creation.

New Hire Training:

  • Train newly hired HIM ECRM (Electronic Content and Record Management) staff on all aspects of the Enterprise Imaging Process and on all policies and procedures related to maintaining the medical record in all media.
  • Provide support and guidance to newly hired HIM ECRM staff.
  • Perform secondary quality review of work performed by newly hired ECRM staff until their Initial Work Period is complete.
  • Provide feedback to management on progress of training.
  • Serve as a resource for newly hired ECRM staff on operating office equipment.
  • Perform equipment checks on cameras, rollers, image guides, etc., to verify the system is operational at the beginning of each shift.
  • Perform basic troubleshooting as a response to failure of technical equipment, engaging additional resources as appropriate.

Quality Review:

  • Perform secondary quality review for documents scanned during the training phase for ECRM staff.
  • Perform secondary quality review of documents scanned that meet the destruction schedule.
  • Ensure proper organization and maintenance of the medical record in all media.
  • Maintain production and measurement statistics.
  • Consistently meet department productivity and quality standards.
  • Maintain a neat functional workspace that is organized, safe, accessible, and provides an effective and efficient environment for employees, patients, and families.
Qualifications:

EDUCATION/EXPERIENCE


Required:
  • High school diploma or equivalent
  • 2 years of work experience in a related job discipline.
