SUMMARY:

The Service Coordinator oversees project functions to ensure financial success, including job initiation and completion, purchasing, managing customer portals, and providing general support to the Service Department and Manager.


Skills and Requirements:

  • Bachelor's degree in business administration, project management, or related field (preferred but not required)
  • Proven accounting experience, preferably in construction

Essential Functions:

  • Coordinate dispatch schedules with the Service Manager.
  • Respond to and follow up on emails promptly.
  • Assist the Service Manager with monthly financials.
  • Create WOs and manage them until the job is complete.
  • Manage project photos from start to finish.
  • Manage customer sign off sheets.
  • Organize SharePoint job folders.
  • Establish and maintain vendor and customer relationships.
  • Manage and coordinate subcontractors and materials.
  • Assess job needs and perform initial WO tasks, submittals, material procurement, permitting, subcontractor setup, etc.
  • Create and submit job closeout documentation as necessary.
  • Support various functions of the Service Department as needed including contracts and permits.


Financial Maintenance

  • Maintain and troubleshoot financial reports.
  • Accounts Receivable:
    • Handle customer connections and set ups.
    • Generate and issue invoices.
    • Monitor and follow up on outstanding payments.
    • Contact clients for overdue payments.
    • Reconcile accounts and resolve discrepancies.
    • Prepare regular accounts receivable reports.
    • Provide excellent customer service.
    • Issue POs and track materials.
    • Update Excel Dashboard with correct financial information and stay up to date with job tracking.
  • Accounts Payable:
    • Review and process vendor invoices.
    • Coordinates with vendors and Accounts Payable to resolve billing and payment issues.
    • Assist with internal and external audits.
    • Identify process improvements.
    • Handle purchasing and new vendor setup.

    • Vendor websites (rentals specifically)

    Working/ Environment/ Physical Demands to successfully perform the essential functions of this job. This is a stationary position that requires frequent sitting or standing, repetitive wrist motions, grasping, speaking, listening, close vision, color vision, and the ability to adjust focus. The employee must occasionally lift and/or move up to 15 pounds. Employees in this position must be physically able to efficiently perform the essential functions of the position. Candidates must be able to conduct site visits to provide estimates, navigating a variety of conditions and environments.
