Job description

Position Title: Education Registrar 

Department: Registration 

Reports to: Registration Supervisor 

Pay Class: Full-time Regular 

FLSA Status: Hourly, Non-Exempt 

Position Summary 

The Education Registrar works to support Pacific Science Center’s mission by registering groups of all types for our educational experiences, including camps, Science on Wheels, Digital Discovery Workshops and Field trips. They ensure all are welcomed and served in a manner that makes their experience memorable and consistent with Pacific Science Center’s mission and values. The Education Registrar works with guardians, groups and teachers to book experiences and provide excellent customer service through the process. This is done by providing excellent customer service to both internal and external customers, including schools, groups and/or families wishing to participate in various on-site and outreach programs. Pacific Science Center promotes access for all and believes that our guests should reflect the diversity of our community. This role supports programming and helps to provide science education to communities throughout the region. 

Essential Duties & Responsibilities 

Customer Service & Registration  

  • Fulfill sales and registration requests via telephone, email, and online systems.  

  • Provide excellent customer service and offer solutions to guest needs and challenges.  

  • Conduct all registration sales in accordance with Pacific Science Center procedures and policies 

  • Greet groups and camp families upon arrival and provide required information.  

  • Conduct group checkin during summer camps, field trips, and other programs as needed, providing a warm welcome in, and needed information 

Data Management & Reporting  

  • Use databases to build, maintain, and review accurate customer and registration records.  

  • Create invoices for programs and process payments. Balance payments in Tessitura, Stripe, Calendly and SharePoint to support endofmonth and endofyear accounting.  

  • Pull reports and analyze data to support program managers in meeting annual goals.  

  • Document and record data, generate scholarship information, and create programming and registration reports.  

Program Support & Coordination  

  • Maintain program delivery calendars to ensure resources are properly allocated.  

  • Manage calendars for school and group admissions.  

  • Collaborate with program leads on registration goals and educational program operations.  

  • Participate in weekly meetings for each educational program.  

  • Contribute other duties as assigned. 

Position Requirements: Knowledge, Skills, Abilities  

• Demonstrated understanding of best practices and principles of the guest service industry, including creating positive impressions and interactions, delivering outstanding customer service, providing excellent conflict resolution and promoting safety. 

• Knowledge of effective daily operations in a public venue 

• Written and oral communications are clear and effective with all audiences 

• Ability to work collaboratively as a member of a team. Dependability and punctuality 

• excellent organizational skills and ability to manage a variety of projects simultaneously and work independently 

• Proficiency with computer systems including word processing, spreadsheets, and databases, specifically Microsoft Office Suite 

• Maintain a positive attitude during times of stress. Relate well to diverse staff and customers 

• Serve the public in a friendly and courteous manner 

• Properly utilize appropriate resources when escalating guest issues 

Qualifications 

Required 

• 2+ years of guest/customer service experience 

• Previous experience with point-of-sale systems and/or CRM database knowledge 

• Previous experience in data entry 

• Some weekend availability (to assist with camps on the weekends as needed) 

Preferred 

• Associate degree or equivalent experience in customer service field 

• Tessitura Experience

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  

• Majority of work will take place onsite, spending long periods at a desk and using a computer.  

• Must be able to maneuver around the PacSci campus.  

• This position requires communication over phone, email, video, and in-person, including the ability to present to individuals and groups.  

• Will be occasionally required to move objects up to 25 lbs.  

• The noise level usually varies from low to moderate, increasing when working with larger groups.
