Job Description:

Under limited supervision and working with a high degree of complexity, this individual provides administrative support to the Executive Director, Realizing Educational Achievement Can Happen (REACH). The individual will provide professional-level support to management, which requires exercise of independent judgment and initiative, time management and understanding of the unit's processes, agency policies and procedures. The individual will support day-to-day programmatic operations and will perform tasks such as data entry, customer service inquiries, preparing reports, creating and managing spreadsheets & databases, presentations, and other documents as required. The individual will also support relationship building and the fundraising planning process for participating REACH school systems across the state of Georgia. Requirements also include handling phones/E-mail, MS Office & Google Suite, excellent written and oral communication, customer service, and willingness to perform miscellaneous office tasks as necessary. Program Associate will work closely with and reports to the Executive Director, (REACH).

JOB RESPONSIBILITIES:

General Administrative Support

• Perform administrative and program support duties for program staff.
• Conduct data entry and analysis.
• Respond to customer inquiries via phone, email and the REACH websites.
• Maintain consistent, high quality, customer-focused relationships at the secondary and postsecondary educational levels.
• Serve as an Agency liaison with internal and external partners
• Tracking and organizing of the fundraising and invoicing for participating school systems.
• Assist participating school systems with marketing.
• Research (corporations and foundations with aligning missions).
• Maintain communication with divisions within GSFC to initiate assistance as needed.
• Print and copy program materials.
• Monitor supplies and place orders as needed and appropriate.
• Observe and report on the REACH Scholarship application process and the tracking of scholar progress.
• Coordinate calendars for program staff as well as with external partners for meetings, events and other REACH activities.
• Maintain and circulate meeting notes.
• Prepare & update marketing materials for staff and participating school systems as needed.
• Perform quality assurance for REACH Georgia website.
• Assists staff with event planning.
• Respond to customer inquires via phone and email.
• Perform administrative and program support duties for Program Coordinator and Executive Director, as necessary.
• Other duties as assigned.

Project Management

• Assist with research, preparation and execution of program projects and deliverables.
• Maintain and update various project plans and status on deliverables as requested.
• Assist with various program deliverables as requested.
• Tracking the fundraising of REACH School Systems and their submission of funds to the REACH Georgia Foundation.
• Help existing REACH School Systems monitor program benchmarks.
• Participate in strategic planning and other key REACH GA Program meetings.
• Under the direction of the Program Coordinator and Executive Director.
• Maintain a tracking system for local school systems funds committed and received and the scholar selections connected to those funds.
• Process scholar transfers outside of their original school system and scholar exits from the program for students failing to meet state requirements.
• Distribution of award letters for eligible high-school graduates and materials related to their access of REACH awards at the postsecondary level.
• Act as liaison between the students and the financial aid department officials at eligible colleges and universities to ensure scholars maximize their scholarship awards once enrolled at the postsecondary level.
• Participate in strategic planning for maximizing efficiency and automation of program processes that currently operate on a manual basis.
• Other duties as assigned.

Community Outreach

• Correspond with participating school systems regarding Scholarship requirements and scholar progress.
• Assessments of school system adherence to regulations throughout program participation.
• Communicate knowledgeably about the program (mission, goals, current status, etc.) to potential program participants and partners.
• Communicate with current community partners to maintain strategic relationships.
• Maintain consistent, high quality, customer focused relationships.
• Assist in building training materials and forms related to the local mentoring program.
• Participate in planning of REACH events, and attend select signing ceremonies and student leadership development activities.
• Provide Technical assistance to participating school systems to ensure program integrity; assist school system inquiries with implementation, program maintenance, community involvement, program development and other activities related to REACH.
• Technical assistance to students and colleges/universities regarding the access of Scholarship funds during the financial aid process

• Other duties as assigned by the Executive Director

MINIMUM QUALIFICATIONS:

The following standards express the minimum background of education and experience as evidence of an applicant's ability to qualify for the position. Any combination of education and experience, if evaluated as equivalent, may qualify an applicant for this specific position.

• Associate degree in business or related field from an accredited college or university and one (1) year of experience related to area of assignment.
• Demonstrated written and oral communication skills.
• Demonstrated ability to work independently and with a team.
• Intermediate or higher skills with Microsoft Office software, particularly Excel. Including proficiency in creating/applying formulas and developing basic financial models.
• Demonstrated knowledge of general office equipment and telephone system.
• Demonstrated ability and willingness to work cooperatively with others.
• Demonstrated high degree of discretion dealing with confidential information.
• Demonstrated administrative skills.

PREFERRED QUALIFICATIONS:

• Bachelor's degree in business or related field from an accredited college or university AND at least one (1) year of related work experience.
• Experience in the day-to-day operations and administration within the K-12 and college educational settings.
• Understanding of federal/state financial aid processes and procedures
• Experience with state and/or local government regulatory processes
• Experience in non-profit administrative duties
• Readiness to engage with a small team in a growing program
• Familiarity with the scholarship programs and their educational/values
