Job description

Duties: Responsibilities include, but are not limited to the following:
Handle administrative tasks and general office management as assigned including:
Managing complex calendars, scheduling, organizing meetings, screening and directing correspondence, telephone calls and emails all with a high attention to detail.
Coordinate domestic and international travel arrangements and prepare itineraries.
Preparation of expense reports, POs with supporting documentation.
Preparation and editing of presentations.
Prepare and coordinate on and off-site meetings and events, including hotel arrangements, catering, clean up/set up, audio/visual needs etc. with internal and external customers.
Work closely with Director of the office of the CEO providing administrative support to the CEO [which may include some personal support]
Liaise with administrative staff, facilities, IT, and other teams as needed to ensure day to day calendars and activities run smoothly.
Ability to handle confidential information discreetly.
Facilitate the troubleshooting of IT issues and escalating as needed.
Ability to support multiple senior staff members with the ability to prioritize, be flexible and work as a team.
Other duties as assigned by supervisor.
Skills:
Excellent verbal and written communication skills (ability to communicate within all levels of the org with the ability to proof and edit presentations/documents.)
Must possess excellent computer skills.
In-depth knowledge of the Microsoft Office Suite (including Word, Excel, PowerPoint) a must.
Strong Outlook knowledge (including calendaring, booking of resources)
Tech savvy, able to quickly learn new systems, i.e., Zoom, Smartsheet, OneDrive
Works well within in a cross-cultural and cross functional environment.
Strong teamwork and project-related skills.(Good at trouble shooting)
Exceptional attention to detail, follow-through, and ability to keep stakeholders informed at all times.
