Administrative Coordinator

Boston, MA | Hybrid | Higher Education


Our client, a highly regarded higher education organization in Boston, is seeking an Administrative Coordinator to provide high-level administrative support to a group of faculty members and academic professionals.


This is an excellent opportunity for an experienced administrative professional who enjoys working in a collaborative academic environment and is comfortable balancing competing priorities, complex scheduling, project coordination, and day-to-day faculty support.


What You'll Do:

  • Provide administrative support to multiple faculty members, serving as a key point of contact for students, colleagues, and external partners.
  • Manage complex calendars, coordinating meetings, appointments, events, and changing priorities.
  • Support teaching activities by preparing course materials, presentations, syllabi, and other classroom resources.
  • Assist with research-related projects, including document preparation, proofreading, formatting, basic research, and organizing materials.
  • Draft and edit professional correspondence and other communications, including confidential materials.
  • Coordinate domestic and international travel, including detailed itineraries and related documentation.
  • Process and track expense reports and reimbursements with accuracy and attention to deadlines.
  • Help coordinate meetings, seminars, conferences, visiting speakers, and other academic events.
  • Provide administrative support for special projects and short- and long-term initiatives as needed.
  • Maintain organized files, records, and shared resources.
  • Work closely with other administrative professionals to provide coverage and support across the broader team.
  • Build strong working relationships with faculty, staff, students, and external contacts while maintaining a professional and service-oriented approach.


What We're Looking For:

  • Bachelor's Degree Required.
  • 1-2 years of administrative experience ideal; 1-2 years of post-grad experience required.
  • Strong Microsoft Office skills, particularly Outlook, Word, Excel, and PowerPoint.
  • Exceptional attention to detail and strong organizational skills.
  • Excellent written and verbal communication abilities.
  • Ability to manage multiple priorities, shifting deadlines, and competing requests without losing attention to detail.
  • Professional judgment and discretion when handling confidential information.
  • A proactive, resourceful approach with strong follow-through.
  • Comfortable working independently while also being a collaborative, team-oriented colleague.
  • Ability to adapt quickly to changing assignments and priorities.
