About the Position
We are seeking a detail-oriented and organized Customer Service / Order Processing Specialist to join our team. This position plays a key role in supporting customers, processing purchase orders, managing inventory transactions, and maintaining accurate records within our accounting system. The ideal candidate will bring strong customer service skills, excellent data entry accuracy, and advanced Excel capabilities.

Key Responsibilities
  • Order & EDI Management: Process customer purchase orders accurately. Manage and process EDI transactions using Merchant software (including purchase orders, acknowledgments, invoices, and related documents). Monitor EDI order flow and resolve transaction errors.
  • Data Entry & System Maintenance: Enter order information into the Adagio Accounting System. Receive and record incoming inventory transactions. Maintain accurate customer, inventory, and order records.
  • Customer & Internal Coordination: Communicate with customers regarding order status, product availability, shipment information, and EDI issues. Coordinate with warehouse, purchasing, and accounting departments to ensure timely order fulfillment.
  • Billing & Reporting: Prepare and process billing and invoicing for customer orders. Generate reports and analyze data using Microsoft Excel, creating spreadsheets with formulas and lookups.
Qualifications
  • Experience: Previous experience in customer service, order processing, accounting support, or administrative roles preferred.
  • Software Proficiency: Experience with EDI processing using Merchant software is preferred. Experience with Adagio Accounting Software is a plus. General proficiency in Microsoft Office Suite (Excel, Outlook, Word) is required.
  • Advanced Excel Skills: Must be highly proficient in Microsoft Excel, specifically utilizing:
    • VLOOKUP / XLOOKUP
    • IF statements
    • SUMIF / SUMIFS
    • Pivot Tables
    • Data validation and reporting
  • Core Skills: Strong data entry skills with a high degree of accuracy, excellent written and verbal communication, and strong organizational skills to manage multiple priorities in a fast-paced environment.
Preferred Qualifications
  • Experience working with major retail accounts and EDI compliance requirements.
  • Familiarity with inventory management, receiving, billing, and invoicing processes.
  • Experience troubleshooting EDI transaction errors and coordinating with trading partners.
