Job description

Quadax is seeking a proven Systems Manager (“SM”) to support the overall delivery of the Company’s strategy, including process improvement and client implementations for the Enterprise Content Management (“ECM”) team. The successful candidate will oversee and monitor project timelines throughout the project management lifecycle while leading a high-performing team responsible for the OnBase Document Management System.

The ECM team supports the existing client base, drives efficiency improvements, provides ongoing support to clients and internal users, and executes new client implementation projects. The SM will ensure alignment of client support requests to business objectives and enforce the Company’s IT Change Management policies.

In addition to delivery responsibilities, this role includes direct people leadership, focused on building, developing, and retaining a high-performing team.
Key Responsibilities
People Leadership & Talent Management

  • Lead, manage, and develop a team of ECM professionals, fostering a culture of accountability, collaboration, and continuous improvement
  • Recruit, interview, and hire top talent to support current and future business needs
  • Drive employee retention through engagement, career development, and a positive team environment
  • Provide ongoing coaching, mentoring, and performance feedback to team members
  • Establish clear performance expectations and conduct regular performance reviews
  • Identify skills gaps and create development plans to enhance team capabilities
  • Support succession planning and career pathing within the ECM team
  • Promote knowledge sharing and continuous learning across the team
  • Ensure appropriate resource allocation and workload balancing to maximize team productivity and morale

Delivery & Operations

  • Manage new client implementations and participate in and facilitate post-launch business validation activities
  • Distribute, manage, and prioritize assignments across the ECM team
  • Lead administration of meetings and key project initiatives
  • Perform project analysis and identify process improvement opportunities
  • Serve as the primary liaison between Account Executives and ECM staff
    • Regularly review open project requests from Account Executives and Production Managers
    • Act as a feedback gateway to address issues raised by team members and stakeholders
    • Communicate effectively with project teams, leadership, customers, and stakeholder
  • Oversee ongoing client support requests for OnBase updates to ensure alignment with business objectives
  • Enforce IT Change Management policies and procedures
  • Manage SOC-2 related tasks and compliance activities
  • Collaborate with cross-functional leaders to share and implement best practices
  • Identify cross-client issues and proactively communicate risks and impacts
  • Proactively identify project risks and develop mitigation and issue management plans
  • Perform other duties as assigned
    Requirements
  • 4+ years of Project Management experience, with demonstrated leadership responsibilities
  • Bachelor’s degree in Computer Science, Information Technology, or a related field (or equivalent experience)
  • Strong understanding of applications and software development roles
  • Proven ability to identify process deficiencies and implement improvements
  • Strong written and verbal communication skills
  • Experience leading and developing teams in a fast-paced environment
