Job Summary
Walnut Elementary School is seeking a dedicated, organized, and welcoming Administrative Assistant to join our front office team. As the first point of contact for families, students, and staff, you will play a vital role in creating a positive school culture. This position handles a variety of administrative tasks, ranging from managing school accounts and attendance to providing backup student care.
Key Responsibilities
Front Office & Customer Service
  • Manage the Front Desk: Greet visitors, answer phones, route calls, and respond to general inquiries with a friendly and professional demeanor.
  • Attendance Management: Oversee and accurately record daily student attendance, track tardies, and follow up with families regarding unexcused absences.

Financial & Data Administration
  • ECA Account Management: Oversee the Extra-Curricular Activities (ECA) account, ensuring accurate tracking of funds, deposits, and compliance with district guidelines.
  • Purchase Orders (POs): Efficiently enter, track, and process purchase orders for school supplies and resources.
  • Data Entry: Assist with student information system updates, records management, and other data entry tasks as needed.

Student Support & Safety
  • Backup Nurse: Provide basic first aid, administer medication (with training), and comfort sick or injured students when the school nurse is unavailable.
  • Versatility: Perform all other duties as assigned by the school administration to ensure smooth daily operations.

Qualifications & Skills
  • Education: High School Diploma or equivalent required.
  • Experience: Previous administrative, secretarial, or school-based experience is highly preferred.
  • Financial Literacy: Basic bookkeeping or experience handling money/accounts (like ECA) is a strong plus.
  • Tech Savvy: Proficiency in data entry, Google Workspace, and a willingness to learn school management software.
