Position Summary

The Facilities & Project Manager will serve as a primary facilities representative for MD²'s growing East Coast portfolio. This role is responsible for delivering white-glove facilities support, managing third-party vendors, overseeing repair and maintenance programs, coordinating office refresh projects, supporting new office openings and remodels, and ensuring all locations consistently reflect MD²'s luxury brand standards. This is not a hands-on repair position. Success will be measured by communication, organization, vendor management, responsiveness, project coordination, and the ability to deliver exceptional service to physicians, office teams, and patients. This is a 90-day contract-to-hire, full-time position that requires travel, and reports to the Director of Operations.


Key Responsibilities

• Manage repair and maintenance activities across assigned offices.

• Serve as a primary point of contact for facilities-related issues.

• Coordinate and manage third-party service vendors.

• Develop preferred vendor relationships and service standards.

• Manage facility-related insurance claims and emergency response situations.

· Track work orders, budgets, proposals, and vendor performance.

· Conduct periodic site visits and facility inspections.

· Support office openings, relocations, renovations, and refresh projects.

· Provide proactive communication and status updates to stakeholders.

· Support the Bellevue headquarters and special projects as needed.

Requirements:

• Demonstrated success managing third-party vendors.

• Demonstrated ability to successfully manage multiple simultaneous projects through their lifecycle.

• Strong project management, organization, and multitasking skills.

• Excellent written and verbal communication skills.

• Ability to build relationships with physicians, executives, office teams, landlords, and vendors.

• Knowledge, skills and abilities related to construction projects.

• Ability to motivate team members through obstacles, delays, and emergencies

• Proven track record keeping all stakeholders up to date on project status.

• Strong research and problem-solving skills.

• Ability and willingness to travel nationally.

• Strong interpersonal skills and highly developed active listening abilities.

• Demonstrated integrity, professional demeanor, and maturity in the workplace.

• Ability and willingness to comply with all company and industry operational standards and requirements.

• Ability and willingness to provide impeccable customer service in all aspects of the work

• Working knowledge of Microsoft Office suite.

• Experience with facilities management software and work-order systems preferred.


Education and Experience Required

• 5+ years of experience managing multi-site facilities, hospitality, healthcare, luxury retail, property management, or corporate office portfolios.

• Bachelor’s degree or relevant work experience desired.

• Preferred Building Owners and Managers Association (BOMA) designation but not required.

• Preferred background in Facilities or Construction Management but not required.

• Or any combination of education and experience that provides the same expertise.
