We are looking for a Senior HR Administration & Payroll Coordinator to join our team on a fixed-term basis, providing maternity leave cover.

In this role, you will provide comprehensive payroll and HR support to our employees in Belgium and the Netherlands, ensuring accurate and timely processing while maintaining the highest standards of compliance and confidentiality.

This is a fully remote role based in Poland.

Key Responsibilities:

• Support payroll processes, including payroll transaction processing, reconciliation, reporting, tax and other statutory obligations/payments (in collaboration with external Payroll provider)
• Provide administrative support in the most complex cases within HR documentation including addendum's to contracts, certificates of employment/employment verification letters and other documentation in relation to the employee life cycle
• Benefit administration management with external vendors
• Review and respond to emails into the shared mailbox ensuring the relevant help desk is used for all Workday, benefits and payroll enquiries
• Maintain employee files ensuring all necessary documentation is securely filed
• Support on internal and external audits
• Managing complex inquiries from employees
• Sharing knowledge and providing training to less experienced employees in the team
• Operational support for Team Leader
• Managing payroll and benefits payments
• Provide coverage for other EMEA markets during time off as and when required
• Documenting all the processes and changes in Operating manuals
• Participating in projects with technical teams to improve processes

What we're looking for:

• Minimum 3 years of experience in HR and payroll areas
• Expert in Payroll and HR processes, knowledge and compliance with local and international labor regulations; knowledge of Belgian and Dutch is a plus
• Excellent English language skills
• Taking the lead/initiative on solving more complex matters, proactive approach in process improvements
• Strong business orientation - broad perspective for HR support for AMEX business partners
• Change ambassador- to embrace the changes in the company (dynamic situation during pandemic, acquisitions, etc)
• Support to Team Lead during audits and complex queries
• Strong analytical skills
• Strong knowledge of HR and Payroll ERP systems
• Proficiency in Microsoft Office including Excel, Word, PowerPoint and Outlook
• Exceptional problem-solving skills with passion for data integrity, process definition, and continuous learning
• Comfortable with a high-paced environment with competing priorities
