Schedule: 8am-4pm

Pay Range: $25.00-$26.00/hour (commensurate with experience)


About the Role

We are seeking a highly meticulous and proactive ABA Clinic Scheduler to join our team on-site at our Fayetteville clinic. In this role, you will be the backbone of our daily clinical operations—managing complex client and staff schedules, optimizing driver transit, and ensuring strict Quality Assurance (QA) standards for therapy billing increments down to the exact 15-minute mark.

Key Responsibilities
  • Master Scheduling: Manage and maintain daily client, BCBA, and RBT schedules in Aloha ABA, ensuring maximum session coverage and prompt conflict resolution.
  • Transportation & Logistics: Coordinate and maintain transportation routes and driver logistics using TheraDriver and Hirasmus to ensure timely client arrivals and departures.
  • Precision Quality Assurance (QA): Audit daily session logs, schedule conversions, and appointment times to ensure strict adherence to 15-minute billing increments and clinical compliance.
  • 1:1 Coverage Optimization: Rapidly address therapist call-outs, client cancellations, and schedule shifts to minimize gaps in client care and maximize RBT billable hours.
  • Cross-Department Communication: Serve as the primary operational liaison between clinical staff (BCBAs/RBTs), families, drivers, and leadership regarding schedule adjustments.
Requirements:
  • ABA Experience Required: Minimum 1–2 years of operational, administrative, or direct care (RBT) experience within an Applied Behavior Analysis (ABA) clinic or agency.
  • Software Proficiency: Hands-on experience with ABA scheduling, billing, and logistics platforms—specifically Aloha ABA, TheraDriver, and/or Hirasmus (or equivalent ABA practice management software)—is strongly preferred.
  • Extreme Attention to Detail: Exceptional precision when auditing time tracking, 15-minute unit conversions, and session logs.
  • Problem-Solving Skills: Ability to adapt quickly in a fast-paced environment when last-minute schedule changes or transportation delays arise.
  • On-Site Availability: Ability to work full-time, on-site at our Fayetteville, GA clinic location.
