JOB DUTIES AND RESPONSIBILITIES

Schedule and dispatch daily loads/shipments (raw milk, products/goods) to meet customer needs and optimize routes to reduce costs and elevate overall efficiency

Dispatch approved drivers to appropriate loads based on availability, capacity, and delivery deadlines; confirm load date/time and delivery date/time

Audit driver compliance with schedules

Serve as the primary point of contact between drivers, customers, and internal contacts. Communicate delivery instructions, customer changes, address issues, and provide updates on shipment status

Develop and maintain relationships with carriers and drivers to understand their needs, operating schedules, and physical limitations while working to inform them of the needs of our customers and distribution system

Be familiar with contracts established with each customer regarding volumes and quantities, plant operating schedules, warehouse schedules, and all special requirements or circumstances

Monitor milk movements to ensure all producers remain qualified during qualifying months and between Federal Orders. Maximize diversions and transportation credits where applicable (applicable to raw milk)

Assemble orders that make up outgoing loads. Maximize carrier load weights and volume by coordinating orders with other company depots, plants, warehouses, etc.

Monitor secondary freight costs and work to minimize those costs when scheduling deliveries

Monitor the progress of deliveries from start/load assembly to delivery to the customer. Use tracking systems to monitor the location and status of trucks and shipments. Address any delays or issues promptly

Handle emergencies and unforeseen events such as accidents, traffic delays, or equipment malfunctions. Coordinate with drivers and others to find quick and effective solutions

Ensure all dispatch activities comply with federal and state transportation regulations. Keep up-to-date with changes in laws and regulations affecting the trucking and/or dairy industry

Address customer inquiries and concerns regarding delivery times, delays, and other related issues. Maintain a high level of customer satisfaction through effective communication and problem resolution

Provide drivers with necessary information and support to perform their duties effectively. Assist with directions, load information, and other logistical details

Match proof of deliveries and approval of carrier invoices. Validate all charges

Work with other groups to resolve issues that arise with the incoming manifests matching the dispatch schedule

Input and maintain accurate records and data in systems, spreadsheets, etc. (customer proof of delivery, bills of lading files, receiving credits, customer receipts, delivery schedules carrier/hauler info, costs, and other relevant data). Prepare regular and ad-hoc reports

Seek and negotiate the lowest carrier costs per set authority limit

May handle the sale/disposal of distressed loads and track on the rejected load database. Communicate and maintain accurate and timely records of distressed loads including quality results, disposition, and/or sale price

EDUCATION AND EXPERIENCE

High school diploma or equivalent

1 to 3 years of dispatching, logistics, transportation, customer service, or related experience

Certification and/or License - may be required during course of employment

SCHEDULE:Monday through Friday 2AM - 10:30AM (30 min lunch)
