Your Impact

Our client is seeking an experienced Executive Assistant to support their C-suite leadership team and serve as the operational backbone behind their day-to-day executive function. The ideal candidate brings exceptional organizational and communication skills, a high degree of discretion with sensitive business information, and the ability to anticipate needs and manage competing priorities in a fast-paced environment.

Roles and Responsibilities
  • Arrange travel and accommodations for Executives. This includes monitoring and executing changes to schedule or as per requested.
  • Perform clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for senior staff.
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
  • Receive incoming communications on behalf of the Executive Director and/or other senior staff, review the contents, determine the priority, and summarize and/or distribute to the appropriate parties according to the scope of allowed authority.
  • Delegates and follows up on action items that fall within realm of responsibility.
  • Maintain confidential information for the business, team and leadership and ensures information is handled appropriately.
  • Coordinate and send meeting invitations and agendas to attendees, books meeting rooms and arrange for any necessary IT resources and refreshments to facilitate an efficient meeting.
  • Prepare briefing notes and minutes of meetings, as required.
  • Provides Executives with documentation needed for meetings and correspondence with the business.
  • Performs additional duties as assigned by executives.
Qualifications and Skills
  • A minimum of 8 years of executive and administrative experience supporting senior leaders.
  • Post-secondary education or technical diploma and a strong understanding of energy sector would be considered an asset.
  • Knowledge of office administration, clerical procedures, and record keeping an asset.
  • Proficiency with Microsoft Office Suite or similar software with the ability to learn new or updated software.
