Job description

Position Purpose:

This position serves as a support for quality of care and customer service within the nursing division.  This position is responsible for maintaining accurate data to ensure adequate staffing levels for high quality.  This position is responsible for supporting the optimal and appropriate resource management in collaboration with the Nurse Manager or Director of Nursing (DON).

Nature and Scope:

This position under the direction of the Nurse Manager or DON is responsible for adjusting and monitoring staffing levels of the nursing division as well as maintaining open and active communication among both nursing staff and management.  The incumbent works closely with the Nurse Manager or DON and other Nursing Department representatives to ensure appropriate staffing levels.

The incumbent is responsible for:

1.        Assisting Administration budget adherence and statistical analysis including the tracking of the nursing unit productivity.  This includes but is not limited to maintaining the position control report.

2.        Track absenteeism and report to Nurse Manager or DON in timely manner for follow-up.

3.        Accurately processing timecards, which includes verifying hours and areas worked for General Nursing, Nursing Administration or other areas.

4.        Coordinating and/or processing invoices for any agency or travel nursing personnel, which includes verifying hours and areas worked prior to approval by Nurse Manager or DON.

5.        Assists in the collection of quality data of support staffing effectiveness and other quality measures as indicated.

6.        Coordinating the design, development, planning and prioritizing of tasks related to the maintenance of KRONOS.  Will be Subject Matter Expert relative to use of Kronos-Advanced Scheduler.

7.        Assists in the development, implementation and publishing of nursing unit policies and procedures related to staffing issues.

8.        Participate in and/or conduct training programs, trouble-shoots system problems, enlisting the support of appropriate personnel when needed.

9.        Compiles and maintains agency QI tracking, record keeping and productivity.

10.     Maintains and monitors rental equipment tracking for the entire facility to ensure accuracy of invoices.

11.     Manages the cash receipt posting process.

12.     Coordinates the development, design, implementation and maintenance of automated systems and their required interdepartmental policies and procedures.

Challenges of this position include ensuring and maintaining the quality of the database and providing accurate and timely reports to Nursing Administration management and other departments as requested.  Other challenges are providing well-trained, service-oriented staff to the nursing units on an as needed or emergency basis, proactively reviewing upcoming unit schedules, for the safest, most efficient and most financially responsible staffing levels possible and works with Human Resources to ensure that all nursing personnel (permanent staff and agency) have a valid Nevada nursing license.

The incumbent is challenged to meet constant deadlines and has the authority to make independent judgments for the nursing division as to changes, including canceling or scheduling work shifts.  Upon request this position may be required to compose correspondence, organize statistical data and prepares for presentation as needed; organizes written materials, maintains an efficient filing and data system and provides assistance on various projects.
