Job description

Position Objective

Provide support for the service and rental departments, continue to grow the parts department through customer service and sales while maintaining inventory load. In addition, this role is tasked with entering part orders into the Baseline database taking the sale from start to finish.

Job Responsibilities:

Parts:
  • Take customer parts inquiries via phone and email on a nationwide level providing quotes and processing orders
  • Act as a single point of contact for strategic accounts assigned as a corporate account
  • Provide branch support and act on the branch’s behalf during times of high volume or during time of staff absence or shortage
  • Ensure customer orders are processed in a timely manner and shipped by local branch or vendor
  • Communicate directly with customers on a daily basis
  • Conduct customer outreach initiatives helping to drive sales and update database of contacts
  • Assist in processing drop ship parts orders insuring proper billing and accuracy of orders
  • Work directly with all locations to identify parts for customer sales orders and service jobs
  • Provide feedback on proper use of database for proper identification of parts within the system
  • Conduct market research on parts pricing providing a competitive edge for the organization
  • Work directly with management and marketing to support nationwide parts campaigns and other supporting materials
  • Assist with answering incoming calls and directing them to the appropriate person or department
  • Support service and warranty functions by ordering and/or sourcing parts, services, and supplies
  • Assist in identifying and selling obsolete/overstock inventory
  • Review parts margin on a nationwide scale providing feedback and making suggestions to both corporate and local department leaders
  • Other duties as assigned

Shipping and Receiving:

  • Assures that shipping counts match documents and resolves discrepancies
  • Prepares all outgoing packages with necessary paperwork
  • Ensures proper packaging of all parcels and skid shipments
  • Examines outgoing shipments to ensure they meet specifications
  • Schedules and coordinates all inbound and outbound packages with couriers
  • Maintains inventory of shipping materials and supplies
  • Maintains organized shipping records
  • Keeps the shipping area clean and safe
  • Receives all incoming mail, packages, and skids, then distributes accordingly
  • Ensures accuracy of all receiving documents and matches forms (PO, packing slip, computer printout)
  • Confirms receiving counts match purchase orders and resolves discrepancies
  • Files all receiving paperwork
  • Places incoming parts on stock shelves and labels them properly
  • Maintains accurate inventory locations
  • Keeps the receiving area clean and safe
Requirements:
  • Experience working in a heavy equipment or truck dealership environment, specifically the parts area
  • Demonstrated ability to plan, prioritize, organize and motivate
  • Work in a high-performance work environment to achieve established goals while maintaining respect for people and our customers
  • Proven track record of customer focus
  • Ability to resolve conflicts and solve problems
  • Strong communication and interpersonal skills (listening, verbal and written)
  • Knowledge of parts distribution procedures
  • Working knowledge of Word, Excel, etc. Ability to learn our NDS software.
  • Knowledge of parts aftermarket
  • Experience working in a shop service environment
  • Forklift operation experience
  • The ability to effectively manage multiple tasks in a fast-paced environment
