Gaumard Scientific Company is a world leader in the design, engineering, and manufacturing of health care simulation products. For more than 70 years, our simulators have been used for training worldwide by the military, emergency medical services, major teaching hospitals, and nursing schools. Gaumard products have been recognized for their innovation in simulation in the pre-hospital, obstetrics, and gynecology, surgical and nursing care segments.

POSITION SUMMARY:

The Technical Documentation Specialist serves as the subject matter expert for all control documentation, including change request forms (CRF), engineering change notices (ECN), product deviation notices (PDN), and item request forms (IRF). The person in this position serves as the primary contact within the Technical Documentation Engineering team in fielding questions from other departments, including customer service, technical support, production, repairs, field service, while also collaborating closely with Purchasing, Production, Inventory, and Engineering to support part number and BOM creation, population, and editing. This person is also responsible to disseminate information to the company as a whole to notify them of changes and updates.

SUPERVISION RECEIVED AND EXERCISED:

Receives direct supervision from management personnel; may assist other departmental employees in performing the job functions. Does not supervise any other position(s). May frequently exercises discretion.

DUTIES AND RESPONSIBILITIES:

  • Manages CRF, ECN, PDN, and IRF documentation from initiation through completion, including documentation, tracking, routing, sign-offs, notifications, and final releases.
  • Collaborates with team members and departments to generate and compile documentation, and to answer technical questions on simulators and components.
  • Tracks documentation status to ensure timely progress and communicates updates to relevant personnel.
  • Creates, evaluates, and maintains IRFs, collecting pertinent data and submitting them for SAP entry.
  • Determines substitutions for new/existing parts, validates data, and initiates SAP updates as needed.
  • Creates, updates, and validates SAP part numbers, including naming conventions, attributes, vendors, UOMs, and sales items
  • Maintains costing for part numbers and notifies SAP Admin when retail pricing is involved.
  • Identifies and updates impacted inventory, ITRs, POs, and BOMs when new part numbers are introduced.
  • Consolidates redundant part numbers by researching and standardizing accessories, consumables, and replacement parts
  • Verifies and corrects SAP data to prevent duplications and resolve discrepancies
  • Creates and maintains BOMs and UOMs in SAP to support purchasing, inventory, and use records.
  • Photographs and edits part images for Item Master Data, ensuring proper setup, labeling, and accuracy
  • Other duties as assigned

QUALIFICATIONS/REQUIREMENTS:

  • Minimum of a Bachelor’s degree in Engineering, or appropriate related experience
  • At least 6 months to 1 year of technical documentation experience and 3+ years of experience in a production environment with a strong document control system
  • Proficient in Microsoft Office, including Excel, Word, and Outlook
  • Working knowledge of CAD software, including SolidWorks and AutoCAD
  • Attention to detail with strong analytical skills and the ability to read and translate technical schematics.
  • Working knowledge of a MRP system, such as SAP Business One
  • Excellent organizational skills with strong attention to detail and accuracy
  • Goal-oriented with the ability to complete tasks in a timely manner
  • Good communication skills, both written and verbal
  • Excellent project coordination and prioritization skills

PHYSICAL/MENTAL REQUIREMENTS:

  • Ability to express and exchange ideas and information in both written and verbal formats to convey detailed instructions with accuracy.
  • Ability to communicate (read and write) effectively in a business environment.
  • Ability to follow procedures and instructions.
  • Ability to sit at a desk for long periods to assemble documentation and record data.
  • Ability to walk the facilities to collect necessary data.
  • Ability to lift, pull, push and carry objects and supplies (up to 15lbs).
