Job description

We are seeking an experienced Executive Assistant to support two senior executives in our Film business. This role is ideal for someone who thrives in a fast-moving environment, exercises excellent judgment, and can keenly manage competing priorities while maintaining a high-level of professionalism and discretion.

The Executive Assistant will serve as a trusted partner to the executives, providing strategic administrative support, driving coordination across stakeholders, and ensuring day-to-day operations run smoothly. This is a NY-based, in-person role that will work closely with a collaborative team of executive support professionals.

Initial Responsibilities

  • Provide high-level administrative and operational support, including complex calendar management, meeting coordination, and ongoing prioritization of projects and initiatives
  • Manage a high volume of scheduling requests and shifting priorities across internal and external stakeholders
  • Coordinate all aspects of domestic and international travel, including flights, accommodations, visas, ground transportation, and itineraries
  • Anticipate needs, proactively solve problems, and identify opportunities to improve processes and workflows
  • Serve as a key point of contact between the executives and filmmakers, partners, industry professionals, investors, and other stakeholders
  • Plan and execute logistics for meetings, business trips, off-sites, and special events
  • Partner closely with coordinators, executive assistants, and cross-functional teams to ensure alignment across schedules and priorities
  • Prepare, review, and process documents, contracts, expense reports, and other sensitive materials
  • Track action items, deadlines, and key deliverables to ensure timely follow-through
  • Compile briefing materials, presentations, and background information for meetings, speaking engagements, and special projects
  • Build and maintain a strong understanding of key relationships across partners, vendors, and industry contacts
  • Support occasional personal tasks and errands for the executives, as needed
  • Take ownership of ad-hoc projects and requests, as needed

Qualifications

  • 2+ years of experience supporting senior executives, preferably in fast-paced, high-growth environments
  • Exceptional organizational skills and attention to detail
  • Strong written and verbal communication skills
  • Proven ability to manage multiple priorities, deadlines, and stakeholders with sound judgment and discretion
  • Ability to handle highly confidential information with professionalism and integrity
  • Collaborative, service-oriented mindset with a willingness to pitch in wherever needed
  • Calm, adaptable, and solutions-focused under pressure
  • Advanced proficiency with Google Workspace, Microsoft Office, and expense management tools (e.g., Ramp, Expensify)
  • Highly resourceful, dependable, and proactive

Our target salary range for this role is between $75,000 to $95,000. We do not use formal job titles internally and similarly named positions may have different compensation levels. Actual starting salary within the range will depend on various considerations, including: work experience, skills, specializations, and training.
