Program Support Specialist

Xcelerate Solutions is seeking a Case Processing Specialist who is responsible for the secure intake, processing, documentation, and delivery of customer case files. You will support a large national background investigations (BI) program that provides investigative products and services to departments and agencies of the federal government. Focused on our Nation’s security, BIs are required to determine an individual’s suitability for employment with the federal government, eligibility for access to classified information, assignment to or retention in positions with sensitive duties, or other designated duties requiring such investigations. Responsibilities: 

  • Receive and process daily case receipts from the Customer, including PDF and Excel files, and perform manual data entry as required.
  • Ensure all incoming cases are accurately entered, validated, and processed within applicable systems.
  • Conduct required credit bureau and other authorized background checks in accordance with program requirements.
  • Process same-day Credit-Only requests, including obtaining and delivering credit bureau reports.
  • Maintain operational continuity by utilizing approved backup accounts and contingency procedures when necessary.
  • Create, maintain, and update accurate case records, notes, and supporting documentation.
  • Scan, upload, organize, and securely maintain electronic case files within the Case Management Tool (CMT) and designated secure shared folders.
  • Securely maintain physical case records until digitized and authorized for destruction in accordance with records management policies.
  • Support compliant records retention and destruction processes, including document shredding.
  • Coordinate the tracking, distribution, shipment, and transition of fingerprint machines to support nationwide operations.
  • Support daily case delivery activities, including uploading completed case packages and generating separate delivery manifests for completed and cancelled cases.
  • Create, issue, maintain, and track Program Credentials to ensure accurate personnel accountability and access management.

Minimum Requirements : 

  • Must be TS eligible
  • Experience in case processing, background investigations, and administrative operations preferred.
  • Familiarity with secure systems, SFTP, and document management.
  • High attention to detail and ability to meet strict daily deadlines.
  • Ability to handle sensitive personal and credit-related data.
