Job description

MARS Solutions Group is looking for an experiencedย Senior Document Control Specialist located in Chicago, IL. Our client is a Natural gas and electricity industry Leader looking for high-quality talent to make a difference. Position Summary

The Senior Document Control Specialist is responsible for managing and maintaining project documentation throughout the full document lifecycle within engineering and capital construction environments. This role ensures accurate storage, tracking, retrieval, and organization of project-related documents while maintaining compliance with company procedures, document control standards, and records retention requirements. The position also provides support for document management systems (DMS), process improvements, reporting, and training of document control personnel.

Responsibilities

Manage document control activities including document release, revision, distribution, retrieval, and archiving.

Maintain accurate and organized electronic and physical document records for engineering and construction projects.

Review, audit, and verify project documentation for completeness, accuracy, and compliance with established procedures.

Coordinate with internal departments and external stakeholders to collect, process, and distribute project documentation.

Support document management system administration, security functions, and user access activities.

Generate reports, maintain document logs, and provide analytical support to project managers and leadership teams.

Identify process improvement opportunities and assist in updating document control procedures and workflows.

Train and support document control staff and end users on document management processes and systems.

Provide technical and administrative support related to document and drawing requests.

Qualifications

High School Diploma, GED, or equivalent required; Associate degree preferred.

Minimum 3 years of document control experience within engineering, construction, utility, or industrial environments.

Experience using electronic document management systems (EDMS/DMS).

Strong administrative, organizational, and data management skills.

Experience reviewing and supporting document management processes and procedures.

Proficiency with Microsoft Office Suite, Adobe Acrobat Professional, scanning, imaging, and printing systems.

Strong attention to detail, communication, and analytical skills.

Experience supporting large capital construction or utility projects preferred.

Duration: 12 Months with possibility of extension

Location: ย Chicago, IL 60601 โ€“ Hybrid

Shift hours: ย Mon โ€“ Fri; 08 to 05
