Job Title: Document Controller

Job Summary: Responsible for collecting, processing, preparing, scanning, boxing, and routing physical items received through the mail and interdepartmental delivery. Also responsible for indexing, routing, and quality control of electronic documents generated.
Major Responsibilities and Percentage of Time:
  • Processing incoming documents: 10%
  • Preparing physical documents to be scanned: 10%
  • Scanning physical documents: 50%
  • Indexing & quality assurance of digital scans: 15%
  • Processing documents to route electronically: 10%
  • Other responsibilities: 5%

Job Duties:
  • Provide support for Uncon Land & Land Services, including preparing, processing, digitizing, routing, tracking, and/or archiving physical documents.
  • Route, track, and/or index digital documents in the enterprise content management system.
  • Consult with Manager/Lead when dealing with non-routine problems.
  • Escalate issues needing resolution by corporate land.
  • Work with reasonable direction from Manager/Lead.
  • Identify new processes and procedural changes as required.
  • Identify need for additional support for special projects or surges in workload.
  • Cognizant of and utilizes new and alternative approaches in the business/technical environment.
  • Developing ability to overcome obstacles and bring issues to conclusion in a timely manner.
  • Work closely as needed with Land/Land Services teams processing documents

Requirements:
  • Must be well organized and able to prioritize multiple requests and tasks.
  • Identify potential software upgrades, enhancements, or break fixes.
  • Must have good communication skills; listens and communicates clearly, directly, and concisely while maintaining confidentiality.
  • Actively seeks to develop and understand business and technical vocabulary relevant to petroleum industry Land functions.

Skills and Experience:
  • Skilled in Microsoft Office products including Word, Excel, and Outlook.
  • Ability to address and resolve issues of moderate scope and complexity.
  • General knowledge of business principles, industry practices, and system standards.
  • In-depth knowledge of all land data types.
  • Ability to search various internal and external database systems to identify legacy data or data not uploaded to ECM.
  • Familiarity with regulatory agency databases, DrillingInfo, and other online resources such as county digital record sites.
  • High School diploma or equivalent certification required.
  • 1 year of clerical/general office experience required.
  • Good clerical skills with an aptitude for detailed and precise work.
  • Five years of administrative support experience in oil and gas Land and/or Oil and Gas experience preferred.
  • Basic knowledge of Microsoft Office products including Word, Excel, and Outlook.

Work Environment:
  • Must be able to stand, walk, use hands to finger, handle, or feel, reach with hands and arms, climb or balance, and stoop, kneel, crouch, or crawl.
  • Able to lift/move up to 25 pounds regularly, and occasionally lift/move up to 100 pounds.
  • Specific vision abilities required include close vision, distance vision, and color vision.
  • Ability to work in wet and/or humid conditions and extreme heat/cold.

Compensation: $48/hr (W2)
Location: Local to Spring, TX
Schedule: 8am-5pm or 9am-6pm
